Job Summary
The Associate Director of Budget and Registration plays a critical role in ensuring compliance of the Office of Pre-College Programs' finance and data practices with university and funder policies. The position partners closely with the Senior Director of Pre-College Programs and the unit's program directors to provide strategic financial analysis, budget management, and support for various funding sources, including grants, gifts, cost-share, discretionary, and revenue accounts. The Associate Director will design and oversee a new centralized registration and participation management system, using RIT's Ideal-Logic platform, to accurately and efficiently capture, manage, and query student data for evidence-informed program planning and impact reporting. The Associate Director position identifies opportunities for process optimization across finance and data systems developing strategic solutions to unique operational challenges.

The position is dependent on the availability of grant funds. It based out of RIT's Downtown Center (40 Franklin St.) and relocates to RIT's Henrietta campus during July to support camp.

  • Mitigate risk by developing, implementing, and overseeing finance and data processes and practices for the Office of Pre-College Programs that ensure compliance with university and funder policies and align with K-12 University Center goals.
  • Oversee all fiscal operations for the Office of Pre-College Programs portfolio, managing all accounts. Provide strategic planning, forecasting and analysis to ensure financial stability and alignment with the office's grant and revenue requirements. Provide oversight to purchasing, journal entries, hiring, and travel reimbursement processes.
  • Provide strategic advisement to the Senior Director for summer camp finances. Build annual multi-variable cost-model and identify factors in the enrollment timeline that necessitate critical business decisions and the data points used to inform the decisions to ensure achievement of revenue goals. Carefully prepare cost projections for grant proposals and calculate a detailed at-cost rate for annual grant billing.
  • Provide leadership to the Office of Pre-College Programs, in the strategic development of its first comprehensive registration and participation tracking system. Design and build the system to meet evaluation and reporting needs of multiple stakeholders while considering user experience. Troubleshoot and revise for increased efficiency and efficacy.
  • With detailed understanding of various grant and gift funding sources, review camp scholarship applicants in the registration system and award approximately 200 scholarships per year.
  • Prepare and present materials for quarterly financial and data reviews, grant reports, and the annual center report. Identify trends and gaps in data to inform recommendations to program directors.

Required Qualifications:
Experience
  • 5-7 years of progressively responsible, professional-level experience in fiscal management, business operations, database design and management, and leadership.
  • Experience in budgeting, financial modeling, strategic planning, registration systems, and evaluation.
  • Experience with grants, preferably in a higher education setting.

  • Strong strategic thinking and analytical skills. Ability to build systems and processes to meet an objective.
  • Interpersonal, written, oral communication, and presentation skills. Proven ability to communicate complex financial information to diverse audiences, including non-financial stakeholders.

The Associate Director reports to the K-12 University Center's Director of Finance and Operations. RIT K-12's Office of Pre-College Programs delivers a portfolio of initiatives that includes campus engagements, enrichments, school partnerships, internships, college and career readiness programming, summer camps and more - serving more than 3,500 youth each year.
