Job Responsibilities

  • Exercise professional judgment when making decisions. Understand compliance requirements and provide assurance and leadership on compliance-related needs. Have the ability to execute special department projects independently. Support the goals of Enrollment Management in the recruitment of prospective students and retention of continuing students. Make recommendations to leadership where appropriate.
  • Act in a leadership role, actively participate in developing and implementing strategies / policies / procedures to comply with new and changing federal regulations, software and department needs. Strategies will support clear communication within the OFAS, as well as externally and will support the goals of Enrollment Management. Policies will comprise program analysis and judgment of current procedures and management of any needed changes. Leadership includes selection, management, training and evaluation of assigned employees and with knowledge in each program of supervision. Serve as an authoritative resource with regards to the interpretation of federal and state regulations, institutional policies and procedures for assigned programs. Have a thorough working knowledge and ability to lead change in technical infrastructure and compliant procedures through, but not limited to, testing new software releases, system advancements and personnel trainings.
  • Analyze and evaluate reports and financial aid to determine eligibility and make revisions where applicable for assigned population. Correspond with students to provide customer service with diplomacy and tact while upholding Institute policies and respecting families' privacy and confidentiality. Responsible for understanding and applying a thorough knowledge of federal, state, and institutional policies and regulations to ensure aid is offered and communicated within eligibility requirements.
  • Serve as principal liaison and advisor for specific program responsibilities to : university community, federal and state agencies, scholarship foundations, high schools, other universities, prospective and continuing students and families. Must engage in contact with a large cross section of university, attending meetings and communicate with appropriate stakeholders
  • Strategically plan and update office operations to be more efficient. Improve student contact interactions by implementing programs and communications that maximize student's understanding of aid processes and securing of financial aid in support of enrollment
  • Responsible for program compliance, assurance and leadership on compliance-related needs, divisional and departmental critical work independently.

Specific programmatic responsibilities include one or more if the following :

Ownership of compliance and processing of Return to Title IV calculations (R2T4) in compliance with federal regulations.

  • Lead in establishing training of OFAS and selected RIT staff (registrar's office, student financial services, housing, dining) on compliance issues related to withdrawal, leave of absence and R2T4 calculation data elements and satisfactory academic progress (SAP).
  • Creation and maintenance of internal business processes and procedures related to reporting, ProSAM and internal staff training
  • Complete monthly and annual reconciliation of assigned programs
  • Serving as liaison to Enrollment Systems and Analytics working to ensure data integrity and proper reporting and systems understanding
  • Construction of internal procedures related to administration of assigned programs, such as SAP, Direct Loans (DL), R2T4, Communications, customer service, etc.
  • Provide annual schedule of : tracking e-mails, phone and chat bot needs, disbursement, etc. for assigned programs
  • Compose and conduct presentations to students, parents, colleagues and as outreach to the community.

    Required Qualifications

    Must demonstrate effective leadership skills, mastery of federal student aid regulations and keep current with ongoing regulation, system, and policy changes. Must have strong communication skills, written, verbal, presentation skills, computer literacy, analytical, problem solving skills and ability to work with diverse populations. Must be highly flexible, a demonstrated ability to work collaboratively with others and able to work in a fast-paced, high energy work environment that emphasizes measurable work outcomes. A willingness to learn American Sign Language in some roles.

    Must be skilled in the use of Microsoft Office and US Department of Education Systems, as well as have an understanding of and willingness to learn the following applications : ProSAM (Financial Aid Management System), PeopleSoft Student Information System, NYS Higher Education Services Corporation Systems, OnBase document scanning system, , ScholarNet

    Preferred Qualifications

    At least five years of demonstrated financial aid and / or supervisory experience or relevant higher education experience preferred.

    Job Summary

    Under direction of the Associate Director's, The Senior Assistant Director serves in a leadership role in the development of policies, procedures, and the execution of applicable office policies. The Senior Assistant Director will independently administer one or more programs requiring mastery knowledge and / or a specialized skill-set for successful execution and delivery of regulatory requirements.

    The Senior Assistant Director provides leadership, supervises and evaluates designated exempt and / or non-exempt staff within the office and works closely with other administrative and academic departments to ensure consistency in policies, practices and compliance. The Senior Assistant Director also serves as a lead in establishing policy and training in their associated programs while serving a small population of students.
