The Rochester Presbyterian Home is seeking an Accounts Payable and Payroll Specialist who under the direction of the Chief Financial Officer, will support all aspects of the Accounts Payable process for the Rochester Presbyterian Home. This position is responsible for accurate processing of invoices and compilation of disbursements to ensure timely payment, maintenance of all vendor records, and completion of annual filings to maintain compliance with the IRS. The Accounts Payable and Payroll Specialist will support the daily functions of payroll functions and must be able to thrive in a collaborative and deadline-oriented workplace.


The Rochester Presbyterian Home in Rochester, NY has been serving Elders for over 90 years. RPH also manages RPH-East Memory Care Residences at Creekstone in Fairport, NY and RPH West Memory Care Residences at Cottage Grove in North Chili, NY.

These residences are unique assisted living communities – one of the first of its kind in New York State. They are designed to provide the latest in long-term care for elders with early to mid-stage dementia. Each of the charming farmhouse-style homes have no long corridors, nurse stations or medication carts – just a warm, welcoming environment where residents can thrive in mind, body and spirit nurtured by the comforts and routines of home and family.

Duties/Responsibilities:

  • Manage daily accounts payable responsibilities.
    • Distribute invoices for approval
    • Prepare and post invoices into the accounting system
    • Ensure proper and accurate classification of all transactions.
    • Prepare documentation for weekly check run.
    • File and maintain accounting records.
    • Resolve financial discrepancies with vendors.
    • Prepare annual IRS 1099 filings and submit to CFO for review/filing.
  • Maintain prepaid expenses and reconcile to the accounting records
  • Assist in the compilation of required information for external auditors and for the annual audit.
  • Download and distribute accounting reports, including Service Director Reports, HUD mortgage statements, HUD payable summaries, etc.
  • Distribute corporate credit card activity reports, manage processing of related receipts and entry within the accounting system.
  • Assist in the compilation of required information for external auditors and for the annual audit.
  • Prepare annual property tax exemptions for CFO review
  • Track daily payroll functions.
    • Time and attendance audits.
    • Monitor employee time punches.
    • Track and report infractions to Human Resources.
  • Assist with the bi-weekly preparation of Payroll.
  • Prepare monthly payroll related entries.


Requirements:


  • Associate’s degree in accounting or equivalent major, and 2 years of accounts payable experience OR
  • 5 years of accounts payable experience.
  • Knowledge of GAAP accounting
  • Excellent PC skills including the ability to navigate and efficiently operate multiple software platforms as well as various Microsoft Office applications.
  • Experience with ADP payroll processing platform a plus
  • Excellent communications skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Specific vision abilities required by this job may include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
