Job Summary:
This position is responsible for entering and checking data in the Georgia Criminal Information Center (GCIC), the National Criminal Information Center (NCIC), and the Sheriff's Office information management system.
Major Duties:
• Enters alphabetic, numeric, or symbolic data from written reports to the computer information management system following format displayed on screen; compares data entered with source documents, or re-enters data in verification format to detect errors.
• Receives warrants, enters warrants into a database system, and maintains records concerning warrant locations and status.
• Performs other data entry duties into state and national systems to include, but not limited to, the following:
o Enters data into GCIC/NCIC system; checks for accuracy of records;
o Keeps daily logs indicating the number of, and types of, entries entered, canceled, and verified;
o Notifies appropriate personnel in "HIT" confirmation procedures;
o Validates and updates the stolen articles, vehicles, guns, boats, etc. file; cancel records when necessary;
o Maintain copies of entries and associated paperwork;
o Send teletypes to other agencies as necessary.
• Maintains radio contact with Civil and Warrants Division personnel.
• Maintains logs of driver's history and criminal history records obtained via the CJIS network.
• Responsible for after-hours administrative and clerical work, including answering phones and responding to public inquiries.
• Maintains logs of warrants received, signed out, and recalled/set-aside.
• Performs other related duties as assigned.
Knowledge Required by the Position:
• Knowledge of GCIC/NCIC rules and regulations, operations manual, policy manual and completion of proper
forms.
• Knowledge of County and agency policies, procedures, rules and regulations.
• Knowledge of Sheriff's Office information database.
• Knowledge of law enforcement policies and procedures related to reporting.
• Skill in operating modern office equipment.
• Ability to establish and maintain effective working relationships within the Sheriff's Office, with other county employees, and with the public.
• Ability to attain certification as a CJIS Network Operator.
• Ability to communicate effectively both orally and in writing.
• Ability to handle multiple interruptions and adjust priorities throughout the day.
• Ability to accurately enter detailed information into various computer systems.
Supervisory Controls: The CJIS Network Supervisor/Terminal Agency Coordinator (TAC) assigns work in terms of agency goals and objectives. Work is reviewed through observation, reports and conversations about activities.
Guidelines: Guidelines include applicable laws, ordinances, rules, regulations, and standard operating procedures related to public safety communications and law enforcement standards. These guidelines require sound judgment and interpretation in application.
Personal Contacts: Contacts are typically with the public, co-workers, law enforcement officers, county employees and employees from other governments and agencies.
Purpose of Contacts: Contacts are typically to give and exchange information, resolve problems, and provide services.
Physical Demands: Requires sedentary work involving standing or walking for brief periods, exerting up to 10 pounds of force on a regular basis and considerable dexterity in operating office equipment.
Work Environment: The work is typically performed in an office.
Supervisory and Management Responsibility: None.
Minimum Qualifications:
• High school diploma or equivalent.
• One to three years of related experience preferred.
• Will be required to obtain certification as a basic terminal operator for the CJIS Network within 30 days (agency training provided).
• May be required to demonstrate data entry skills through the completion of a skills test during the pre-employment process.
• Equivalent combination of education and experience.
