Position Overview
The Rockefeller Foundation (RF) is seeking a Director, Event Management to join the Foundation Services team. This position reports to the Vice President, Foundation Services, and works with internal and external clients to plan, manage, and execute a variety of convenings in the internal conference space and the new convening center in New York City. They will also oversee the employee cafeteria, reception services, and staff pantries.
They will work on creating policies and procedures to provide the highest level of service for all convenings hosted by RF and external groups onsite. This position will also train and hire the support needed including, but not limited to, event scheduling, event design, audiovisual strategy, catering, event execution, and reception services. They will ensure clear communication to the staff on the new convening space, cafeteria, and reception services are executed.
Pay Range : $140,755 - $194,748. This represents the present low and high end of the Foundation’s pay range for this position. Actual pay will vary based on various factors, including but not limited to experience.
Work Schedule : This role will be onsite 5 days a week.
Principal Duties and Responsibilities
- Develop and execute hospitality-focused procedures and policies in the new convening space, cafeteria, reception desk, and upper floor conference space to ensure the service level exceeds expectations.
- Ensure all procedures and vendors related to hospitality are in line with Rockefeller Foundation’s commitment to combating climate change and are in line with the department’s goals, sustainability, ease, and consistency.
- Ensure all event management and food service policies are in line with the Foundation’s ESG strategy, and that it functions in the most collaborative, efficient, and flexible way.
- Manage the overall convening strategy and direct all event management services provided in the convening center, upper floor conference spaces, staff cafeteria, and pantry space as well as reception services.
- Partner with RF colleagues and the Employee Engagement Committee to plan and execute events hosted from the onsite convening space, virtually, and occasional offsite convenings. This includes ordering catering, and linens, advising on event flow, ensuring proper room setup for event goals is done, planning audiovisual details, and executing the event the day of.
- Serve as a venue manager for external groups using the space. This includes ensuring proper space holds, contract generation, coordinating event setups, vendor selection, day of the venue management, and post-event follow-up.
- Manage the audio-visual strategy and ensure that the day-to-day AV management is executed at the highest level.
- Oversee accurate scheduling for the event calendar.
- Develop and train the support needed for the operations of the convening space, staff cafeteria, and reception services.
- Ensure reception services are operating in a friendly, welcoming, and customer service-focused way.
- Prepare RFPs for required consultants or vendors related to event management. Receive and level proposals. Organize interviews and make selection recommendations to the Foundation.
- Coordinate design, purchasing, delivery, and placement of furniture, fixtures, and audiovisual equipment.
- Lead ongoing cost estimating and budget updates related to the convening space.
Education, Experience, and Skills
- Bachelor's Degree in Hospitality Business, Communications, or related field preferred.
- A minimum of 10 years of experience in event or hospitality management.
- M ust be highly motivated and have proven hospitality management skills, the ability to work independently to coordinate complex activities, prioritize conflicting demands and meet deadlines in a fast-paced environment.
- Ability to work under pressure.
- Have a hospitality-focused demeanor, with a working knowledge of event planning, audio-visual management, and food service.
- Must have a record of high integrity and ability to build effective, collaborative working relationships based on mutual trust and confidence, integrity, forthright expression of opinions, and good judgment.
- Strong interpersonal and teamwork qualities, with excellent listening skills.
- Excellent communication skills.
- Computer proficiency in MS Word, Outlook, PowerPoint, CVENT, Internet search skills, and the ability to learn new applications quickly.
- Ability to work a flexible schedule outside of the standard 9 am-5 pm to accommodate event demands, including occasional weekends.
