The Assistant Property Manager at The May will report to the Property Manager and perform administrative and organizational duties such as liaising with residents, collecting rent, providing basic bookkeeping, organizing property viewings, and overseeing facility maintenance. This position is also responsible for evaluating applicants and negotiating contracts.
Essential Funtions
- Assists with developing and documenting property management procedures
- Maintains accurate Tenant, Vendor, and Building records updates on the shared database
- Manages, trains, and counsels onsite staff effectively
- Communicates effectively with staff members, tenants, vendors, contractors, government offices, property management, and senior management staff
- Manages all building work activity including overseeing: accessing and enforcing all scheduling with construction, outside vendors, and on-site team to insure normal operations during building hours
- Assists in the day-to-day operational management of buildings and grounds
- Physically inspects and documents inspections of buildings within the portfolio daily and reports any maintenance and repairs needed to property management teams
- Coordinates service agreements and selects contractors and suppliers
- Researches and prepares RFPs and bid comparisons
- Reviews and responds to all property inspections
- Assists in overseeing all maintenance team members
- Assists with the administration of tenant leases in compliance with lease provisions
- Follows up and reports on rent delinquencies for specific tenants as required
- Provides and develops excellent working relationships with all tenants
- Ensures that tenant inquiries and complaints are timely and satisfactorily addressed with subsequent follow-up
- Works closely with internal partners in Tenant Experience to support special events for tenants
- All other duties as assigned
- High school diploma or equivalent (required)
- Bachelor's degree or equivalent education, training, and experience (preferred)
- Approximately 1 - 5 years of experience in Property Management (required)
- Real Estate Salesperson License (preferred) but will be required to obtain within ones first 90 days of employment.
