What are the responsibilities and job description for the Executive Administrative Assistant-Human Resources position at Rockland Trust?
Rockland Trust is currently seeking an Executive Assistant for the Chief Human Resources Officer. The Executive Assistant provides administrative support to the Chief Human Resources Officer as well as other team members within the HR department. The individual will be responsible for overall functions, office efficiency, and operations.
Primary Duties or Responsibilities
- Coordinate the day-to-day operational and administrative activities of the Chief HR Officer by organizing the incoming flow of work, prioritizing incoming requests, and following-up to ensure timely response.
- Plan and organize meetings for department staff, preparing materials and inviting participants.
- Prepare HR policies and other official documentation.
- Prepare and monitor the budget for the HR department. This includes consulting with management for their budgetary needs and the preparation of the annual budget, inputting the data, ensuring payments of invoices and preparing budget information on a regular basis.
- Maintain expenses within the Human Resources department by submitting invoices for payment and tracking payments.
- Partners with our HR team and internal marketing team to assist in creating HR related communications.
- Answers frequently asked questions from applicants and employees via phone and email relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Updates employee files to document changes in accordance with policy and procedure. Ensures all records meet company requirements and are properly scanned, processed, recorded, and archived, both electronically and in paper files as necessary.
- Assists with HR system deliverables including regular and ad hoc reports, troubleshooting, data entry, etc.
- Assists the job evaluation team in the coordination and communication of reviews
- Serves administrative support to select Employee Resource Groups as designated by Human Resources Management.
- Assist Human Resources Intelligence Systems (HRIS) team with testing and reviewing system changes.
- Maintain strict confidentiality regarding sensitive HR information.
- Build relationships with internal stakeholders across different departments.
- Other duties and special projects as assigned.
Benefits Team Support:
- Assist in administration of company benefits, including medical, dental, vision, HRA, FSA, COBRA, and worker’s compensation.
- Respond to employee benefits inquiries.
- Assist with Leaves of Absence (LOA) administration, tracking, pay coordination, and timecard management.
- Maintain accurate benefit records in the HRIS system, including new hires, status changes, and qualifying events.
- Act as a backup for conducting biweekly new hire orientation and ensure benefit materials are kept up to date.
Requirements:
- Strong communication and organizational skills
- Ability to work independently in a deadline driven environment
- Strong proficiency in Microsoft Word, Powerpoint and Excel
- Knowledge of Social media tools including LinkedIn Recruiter, Facebook, and Instagram a plus
- Proven ability to maintain the highest level of confidentiality
- Ability to prioritize tasks and manage multiple projects simultaneously
- Strong attention to detail
- Ability to independently problem solve
- Understanding of HR practices and procedures
- Service oriented and excellent interpersonal skills
- Graduation from high school or equivalent required.
- 2 years of HR experience or executive admin experience preferred.
- Experience with ADP and Oracle is a plus
