What are the responsibilities and job description for the Document Control Specialist position at Rocky Creek Youth Ranch?
DEFINITION: The document control specialist collects, maintains, and completes all documents necessary to ensure that records are kept up to date; develops and maintains a comprehensive filling system and computer database for all documents to be retained; manages the operation of paper charts and electronic records. Assist with referrals. Occasional youth transport may be necessary.

Collect and maintain information needed to ensure paper charts and records are up to date. Assist clinical team to make sure information sent to outside referral sources are current and explained in detail.
Maintain electronic records and paper charts in such a way that ensures fast retrieval of documents. Perform clerical typing duties to generate documents or important memos, as necessary.
Work directly with therapists, supervisor, case worker, Children's Division, and additional referral sources to ensure compliance. Send Intake packets to Children's Division Workers.
Assists with making phone calls with youth. Document all calls made to Children's Division Workers or other important figures on communication logs.
Put court date and scheduled visitations on the master calendar.
Organize client files. Receive, review, and file an incoming youth's paperwork.
Pull and copy school required paperwork than place in the school's mailbox and contact head teacher to pick up the information. Along with the school's information packet a copy of their birth certificate and shot record should also be included, if one or both is missing contact the youths’ Children's Division Worker. A copy of the service placement agreement should also be sent with the school paperwork. Set up and ensuring that anyone wishing to come on site is preapproved and on a youth's contact list.
Ensure that information on a new youth is properly distributed to necessary administrative staff.
ENVIRONMENT: This job operates in a professional but relaxed office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines. The employee is frequently required to stand, walk short distances between buildings, and transport youth for appointments or clothing vouchers. May be required to use CPI if a youth becomes dysregulated while in your care.
