What are the responsibilities and job description for the Buyer / Procurement position at Rocky Mountain Chocolate Factory Inc?
POSITION SUMMARY: The Buyer is responsible for overseeing the acquisition of goods and services essential for the organization's operations. This role involves managing the entire procurement process, from requisition processing to payment, ensuring a steady flow of supplies while effectively communicating with suppliers and managing both internal and external risks.
ESSENTIAL FUNCTIONS:
- Order non-inventory supplies which include shipping department supplies, office supply closet replenishment, and other supplies purchased through Amazon, Uline, and other vendors as needed.
- Track all purchase orders to verify that all have received a confirmation and update estimated arrival dates in the ERP system. Make sure all POs are on schedule and update ETAs when needed. Communicate PO date changes to the appropriate team members.
- Ensure that BOL and Invoices are received and attached to all POs in the system.
- Assist R&D with identifying existing vendors or new vendors when needed to order samples for new product ingredients. Collect vendor and product certificate for these items.
- May assist with RFQ preparation and quote follow up for pricing on different options for new products packaging and ingredients to assist with identifying the best cost and quality options for R&D consideration.
- May assist with purchase planning for certain categories of ingredients and packaging purchases utilizing MRP generated
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
- Strong computer skills including Microsoft Office programs
- Experience using ERP/MRP software used to generate Purchase Order documents is a plus
- Experience in a Manufacturing environment is a plus
- Comfortable placing orders online, by phone or email
- Experience with negotiating pricing, delivery, and payment terms while building long lasting relationships with vendors.
- Ability to create organization tools, checklists, and filing systems to work efficiently in a fast paced, high-volume environment.
- Believes that details matter. Will put their boots on the ground to resolve a small detail now to prevent it from becoming a larger problem later.
