The Accounts Payable Specialist will play a crucial role in the finance team by driving efficiency in the accounts payable process and ensuring accurate and timely processing of invoices, vendor payments, and expense reports. Key Responsibilities:
- Review, verify, and process invoices for payment for multiple divisions
- Ensure proper coding of invoices to the general ledger, appropriate cost centers, and divisions
- Reconcile accounts payable transactions and collaborate with vendors to resolve discrepancies
- Prepare and record electronic transfers, checks, and ACH payments
- Maintain accurate and up-to-date vendor files of all invoices, reports, receipts, and permanent documents via electronic filing system
- Support employee expense reimbursement processing based on company policies
- Act as the key liaison between the Controller, purchasing, and receiving teams to streamline workflows and ensure effective communications regarding equipment purchases, asset tracking, and disposals
- Monitor accounts to ensure payments are up to date and in compliance with terms
- Respond to internal and external inquiries regarding payment statuses and vendor accounts
- Assist with month-end closing activities related to accounts payable
- Provide support and documentation for monthly and annual reporting
- Assist Project Management Team with job costing details and reporting
- Assist with audits by providing documentation and reports as needed
Qualifications:
- Proven ability to thrive in a fast-paced, detail-oriented environment and enjoy collaborating with internal departments and external vendors
- Two (2) years’ work experience in a similar accounts payable role within the construction or manufacturing industry, preferably in a fast-paced environment
Experience with ERP software packages, specifically QuickBooks Enterprise
- Solid computer skills and advanced knowledge of Microsoft Office (specifically Excel, Outlook, Word)
- Excellent verbal/written communication skills and ability to function effectively and efficiently as part of a team
- Demonstrated history of good judgment, problem solving skills, and discretion in handling confidential information
- Strong organizational and time management skills with focus on accuracy
- Ability to work under pressure and meet deadlines all the while being detail-oriented
- Ability to multitask and complete work with a high degree of accuracy, judgment and integrity
- Strong interpersonal skills and ability to establish and maintain strong supplier relationships
