Position Purpose
This position is responsible for administrative support to the coordinators, care managers and management teams with administrative processes and other support as needed. All Program Assistants are required to provide some in-office support as the nature of this position requires both in-office and at-home tasks as dictated by the individual tasks.
Essential Duties
- Responsible for compiling and mailing documentation to necessary recipients via both email and standard postal carriers.
- Maintains and updates internal data base and state systems and maintains data integrity standards
- Scans incoming physical records, indexes according to standards, and attaches to the correct case in internal data base
- Monitors email inboxes, indexes according to standards, and attaches to data base and distributes to appropriate parties
- Assist with misc. administrative tasks and special projects as needed
- Provides timely follow-up on all related duties with coordinators and care managers, supervisors, managers and provider agencies as necessary
- Maintain various tracking systems as needed
- Conveys a positive and professional image of the organization to others
- Performs other duties as assigned
Knowledge, Skills and Abilities
- Demonstrates support for the company’s mission, vision and values
- Basic skill in computer software programs including databases and on-line applications
- Knowledge of basic office machines
- Excellent written and verbal communication skills, strong organizational and time management skills, and strong interpersonal skills
- Ability to maintain strict HIPPA confidentiality guidelines
- Ability to prioritize, meet deadlines and work independently
- Ability to problem-solve and think critically when issues arise

Qualifications
Minimum Qualifications
- High School Diploma or GED equivalent.
- 1-2 years of general administrative experience.
- Proficiency in Microsoft Office Suite
Preferred Qualifications
- Non-profit and/or Human Services experience
- Experience with web-based data management systems
