The Payroll Specialist ensures the accurate and timely processing of bi-weekly payroll in compliance with company policies and federal, state, and local regulations. Responsibilities of the Payroll Specialist
Payroll Processing
- Process bi-weekly payroll for salaried and hourly employees, ensuring accuracy and timeliness.
- Calculate wages, deductions, benefits, stipends, and reimbursements.
- Review and verify timesheets, attendance records, and leave balances.
- Reconcile payroll before transmission and validate final reports.
- Manage retirement plan contributions and process garnishments.
- Issue payroll-related invoices and transmit positive pay to the bank.
Compliance & Auditing
- Ensure payroll compliance with federal, state, and local wage and hour laws.
- Assist with year-end processing, including W-2 preparation and retirement plan reporting.
- Support internal and external audits, including workers' compensation and pension audits.
- Maintain compliance with federal and state grant reporting requirements.
- Stay up to date on payroll law and regulation changes.
Data Management & Reporting
- Generate payroll reports, including payroll summaries, labor distribution, and journal entries.
- Verify payroll records, including exemptions, deductions, job title changes, and compensation updates
- Maintain organized payroll records and respond to employee inquiries.
- Troubleshoot payroll system issues and coordinate with IT or external vendors as needed.
Qualifications of the Payroll Specialist
- Bachelor’s degree in Accounting, Finance, Business, or a related field preferred.
- 3-5 years of payroll experience, preferably in an education or healthcare setting
- Strong attention to detail, organization, and problem-solving skills.
- Ability to manage multiple priorities and meet tight deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in payroll software (Paylocity preferred) and Microsoft Excel.
- Familiarity with timekeeping systems, HRIS platforms, and Google Suite is a plus.
- Ability to maintain confidentiality and exercise sound judgment.
Salary : $49,876 - $63,543
