What You’ll Do Office Administration : Oversee front desk operations and direct requests to the appropriate individuals. Coordinate office supplies inventory, place orders as needed, and manage vendor relationships. Liaise with building management and vendors for facilities-related needs. Assist with office build-outs, moves, expansions, and desk configurations. Plan and execute internal events, such as team-building activities and celebrations, including venue sourcing, logistics, and catering coordination. Help design and order company swag to promote engagement and culture. Support initiatives to foster a vibrant workplace culture and assist with special projects for leadership and team members. Ensure a safe, clean, and organized office space in compliance with laws and company policies. Operational Oversight & Staff Management : Supervise, train, and manage receptionist staff, fostering a high-performing and collaborative team. Oversee day-to-day office operations, ensuring all administrative and office operational functions run smoothly. Identify and implement process improvements to enhance office efficiency and effectiveness. Human Resources Assistance : Assist with onboarding and offboarding processes, including preparing materials, scheduling orientations, and collecting required documentation. Maintain employee records in HRIS (Rippling) and ensure compliance with company policies. What We’re Looking For : Experience & Skills : Bachelor’s degree or equivalent experience. At least 2 years of administrative, office management, or similar roles, preferably in a legal or professional services setting. Proficiency with Microsoft Office Suite, Outlook, Microsoft Teams, Canva, and legal case management systems. Strong organizational skills with the ability to prioritize tasks, solve problems, and manage multiple responsibilities effectively. Exceptional written and verbal communication skills, with a professional demeanor. Personal Attributes : Positive and professional attitude with a focus on fostering a welcoming environment.
