ACCOUNTS RECEIVABLE REPRESENTATIVE
POSITION SUMMARY
The Accounts Receivable Representative plays a critical role in the financial health of Rogers Heating & Cooling. This position is responsible for processing customer payments, maintaining accurate account records, following up on past-due balances, and ensuring a smooth and efficient revenue cycle. The ideal candidate is organized, reliable, and proactive in communication with both internal team members and customers.

PERFORMANCE OBJECTIVES
· Generate and send invoices to customers in a timely and accurate manner
· Monitor accounts for overdue payments and proactively follow up via phone, email, or mail
· Apply customer payments accurately to accounts
· Work with customers to resolve billing questions or disputes
· Maintain detailed records of customer interactions and payment history
· Support month-end closing activities and reporting as needed
· Coordinate with other departments (e.g., Service, Install, Sales) to ensure invoice accuracy
· Assist in preparing aging reports and analyzing trends in outstanding balances
· Follow up on unapplied payments, short-pays, or credits
· Escalate unresolved collection issues to management
· Maintain confidentiality of financial and customer information
KEY COMPETENCIES
· High school diploma or equivalent required; associate’s degree in accounting or business preferred
· 1–2 years of experience in accounts receivable or customer billing roles
· Strong attention to detail and organizational skills
· Proficiency in Microsoft Excel; experience with QuickBooks or ServiceTitan a plus
· Excellent written and verbal communication skills
· Ability to work both independently and as part of a collaborative team
· Comfortable making professional phone calls to customers to discuss billing matters

PHYSICAL REQUIREMENTS
- Prolonged periods of sitting at a desk and working on a computer
- This position may require travel
