The Service Coordinator will create a lasting impression for Rogers Mechanical - Service Division by maintaining the service technicians' daily schedules, scheduling return trips when parts are in, updating the customer database, and keeping clear and concise communication with other team members.
Requirements
1. Dispatch Service Technicians :
Efficiently assign service calls to appropriate technicians based on their skills, availability, and location.
Communicate primary job information, job history, and other valuable details regarding the call to the technician before they arrive at the location.
2. Quote Generation :
Generate accurate and timely quotes for service work based on customer requirements and company pricing guidelines.
Collaborate with relevant team members, such as service managers and vendors, to gather necessary information for quoting purposes.
3. Team Communication and Support :
Act as the primary office contact for service technicians in the field, addressing their queries, providing guidance, and relaying important information.
Track technicians progress throughout the day to ensure efficient scheduling and timely completion of tasks.
Assist technicians with any documentation or administrative tasks they may require assistance with.
4. Appointment Confirmation and Scheduling Adjustments :
Confirm service appointments with customers, ensuring their availability and addressing any scheduling conflicts.
Make necessary adjustments to schedules in response to unforeseen circumstances, such as emergency calls or delays.
5. Materials Management :
Receive and stage materials as needed for service calls, ensuring they are readily available for technicians.
Coordinate with the procurement team to ensure timely delivery of required materials and equipment.
REQUIREMENTS :
High school diploma or equivalent; additional education or certifications in administration, project management, or related fields are a plus.
Proven experience in a similar role, preferably within the construction, HVAC, or plumbing industry.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent communication skills, both written and verbal, to effectively liaise with technicians, customers, and internal teams.
Proficient in using computer systems, including scheduling software, CRM systems, and Microsoft Office Suite.
Detail-oriented mindset with the ability to multitask and work in a fast-paced environment.
Knowledge of HVAC and plumbing systems terminology and basic technical understanding is desirable.
