Job Description:
The Administrative Assistant provides essential support to the sales team by managing administrative tasks such as processing mailings, preparing bids and contracts, handling vehicle delivery paperwork, and assisting with customer interactions. The role also includes front desk coverage. This position ensures smooth operations and excellent customer service.
Key Responsibilities:
1. Sales Support:
o Assist sales staff in day-to-day operations.
o Communication coordination with customers and sales team.
o Create bids and contracts as needed.
2. Customer Information Management:
o Create Sales Bids and Contracts.
o Follow up with customers to gather missing or required documents.
o Collaborate with funding agencies to obtain approvals on behalf of customers.
3. Delivery Coordination:
o Prepare vehicle delivery paperwork and process it upon return.
o Meet with customers during vehicle deliveries to ensure proper documentation is completed.
4. Reception Desk and Administrative Duties:
o Provide front desk phone coverage and act as a back-up when needed.
o Perform other administrative or support tasks as requested by management.
o Process payment transactions.
o You will be required to cover a Saturday shift on an occasional basis, approximately once every 18 Saturdays.
Qualifications:
