We are actively seeking a Construction Office Manager in the Cincinnati, OH area to join our award WINNING team.

Work Schedule: Monday- Friday 7am-4:00pm MUST be willing to be flexible as jobs may change
Supervisory Responsibilities of the Office Manager:
- Oversees the daily work activities of the departmental administrators, and ensures work is being completed accurately and in a timely manner.
- Ensure all departmental administrators are trained to provide coverage when necessary.
- Assist with discipline and termination of administrators in accordance with company policy.
Position Responsibilities of the Office Manager:
- Create and manage monthly AIA project billings.
- Track and manage vendor and insurance paperwork for stored materials.
- Initiate projects in the accounting systems and distribute to project managers.
- Prepare prevailing wage documents.
- Oversee employee onboarding and offboarding.
- Coordinate and attend company meetings and events.
- Manage any assigned office personnel and various office tasks.
- Job folder set-up and start up.
- Execute Accounts Receivable reports and Accounts Receivable follow-up.
- Supervise office administrators.
- Assist with scheduling and conducting interviews for new staff.
- Manage the oversight of PCI hours and pay, weekly invoices, and communications.
- Assist with scheduling and execution of company events.
- Serve as the main point of contact for all office staff.
- Additional duties as assigned.
Minimum Experience and Qualifications of the Office Manager:
- Extensive knowledge of office management procedures.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite, especially Excel required.
- Proficient with Timberline/Sage 300 is preferred.
- High school diploma or equivalent required; Associate degree in office administration or related field preferred.
- At least three years of administrative and clerical experience is required.
Qualifications of the Office Manager:
- Required: Experience in Microsoft Office Suite (Intermediate).
- Required: Excellent written and verbal communication skills.
- Required: 5 years’ managing experience.
- Required: High school diploma.
- Preferred: Familiarity with construction industry.
- Preferred: 5 years' experience in AIA billings.
- Preferred: 5 years’ experience in prevailing wage billings.
- Preferred: 5 years’ experience with accounting software.
- Preferred: Experience managing teams of 10 employees
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
