Job Summary :

The Facilities and Safety Manager is responsible for managing the maintenance, safety, and functionality of the Ronald McDonald House (RMH). Key duties include developing, implementing, coordinating, and managing systems to address the physical maintenance needs of the Ronald McDonald House. The upkeep, maintaining equipment, training staff and volunteers. Overseeing inventory and purchasing, supervising personnel, and supporting RMH needs as related to facilities and safety.

The Facilities and Safety Manager works closely with Ronald McDonald House staff and vendors to monitor and maintain electrical, plumbing, mechanical, fire safety systems and related systems.

Reports To : Director of Operations (DOO)

Essential Functions :

  • Initiative-taking interaction with staff and vendors to ensure that the physical plant consistently provides an optimal living environment for House guests visitors.
  • Plan, organize, and direct activities related to maintenance of the facility in accordance with state, local, federal, and RMHC Global standards.
  • Oversee construction, renovation, and repair projects to ensure the House meets environmental, health safety, and security standards.
  • Oversee Facilities Services, including all functions and staff.
  • Assist in the coordination of events and activities as they pertain to the facility and its resources.
  • Assist with the organization’s emergency preparation and business continuity plan.

Duties and Responsibilities :

  • Maintain emergency supplies, including food and water.
  • Assist the House staff Team in the inspection of guest rooms.
  • Communicate with staff to set priorities and provide feedback regarding facilities and safety issues.
  • Supervise and inspect tasks completed by the facilities technicians and jobs completed vendors.
  • Coordinate relevant work / facility activities with appropriate Rady Children’s Hospital staff.
  • Direct and / or perform daily maintenance and repair tasks requested by House guests and staff.
  • Participate with the DOO in long range planning and establishing priorities for facility maintenance and improvements.
  • Conduct periodic inspections of facility environmental and physical systems.
  • Maintain warranty records and equipment repair logs.
  • Maintain various physical and plant operations and equipment common to managing facilities.
  • Arrange for and track preventative maintenance activity completed by outside vendors.
  • Establish positive working relationships with repair / maintenance vendors, seeking in-kind donations whenever possible.
  • Manage the keycard entry system to the House, including quarterly key audits.
  • Ensure an accurate record of all keys assigned to staff.
  • Analyze utility bills, energy output, and vendor statements.
  • Ensure annual inspections are completed as required (e.g., elevator, alarms, sprinklers, fire extinguishers, roof / solar).
  • Participate in the preparation and administration of the facility maintenance budget; submit budget recommendations; obtain cost estimates for work; submit justifications for equipment; and monitor budget expenditures.
  • Monitor the status of projects and pending problems; shift workload based on priority demands.
  • Work with the COO and DOO to review service contracts for equipment and environmental systems in the House.
  • Review facility systems on a regular basis to evaluate programs, services, and physical spaces.
  • Foster and maintain working relationships with WEX and Job Corps to ensure that training requirements are met.
  • Manage the facility maintenance / inventory programs.
  • Work with the DOO to monitor and maintain the maintenance reserve timeline and budget.
  • Participate actively in staff meetings.
  • Environmental Health and Safety

  • Develop and maintain a robust equipment safety program for all users, including staff, volunteers, and external users.
  • Assist, create, update in providing safety training to House Services staff on chemical safety and storage, hazardous waste disposal and ergonomics.
  • Provide the required training for staff in the safe and proper use of all operating equipment.
  • Apply and enforce safety policies across RMH, and other spaces for all users.
  • Serve as the Safety Manager and liaison between the human resources office ensuring compliance with and implementation of companywide EH&S requirements.
  • Maintain collaboration with local hospitals and the Office of Emergency Services regarding mutual aid and emergency preparedness expectations and support.
  • Establish security, safety, and maintenance policies.
  • Create and / or maintain RMH safety manuals, evacuation, and emergency plans.
  • Provide ongoing training to staff in pertinent safety and disaster procedures and exercises.
  • Special Projects - As needed.

  • Support House special projects and exhibitions as needed.
  • Support House staff in the planning and implementation of House events and guest activities.
  • Collaborate with the Volunteer Services Manager and DOO to identify volunteer opportunities throughout the facility. Maintain an up-to-date list of volunteer opportunities for both groups and individuals.
  • Knowledge, Skill, and Experience :

    1.      Possession of a bachelor’s degree and / or 5 years’ experience in facility management.

    2.      Proficiency with technology, specifically Facilities Management Systems.

    3.      Ability to plan and manage projects; and to coordinate the work of outside vendors.

    4.      Ability to work with internal and external teams in developing and implementing a wide range of policies affecting the operation of the physical plant.

    5.      Analytical skills are needed to evaluate information and develop appropriate action plans.

    6.      Ability to read blueprints.

    7.      General knowledge of plumbing, carpentry, electrical and general maintenance procedures.

    8.      Strong knowledge of HVAC systems and operations.

    9.      Knowledge of building automation systems.

    10.  Previous supervisory experience required.

    Special Conditions of Employment :

    Position requires flexibility to be available for emergency call outs during off time.

    May require evening and weekend work as needed.
