Title: Administrative Assistant
Reports to: President and CEO
Job Status: Part-time/20 hours per week

POSITION SUMMARY: The Administrative Assistant is responsible for managing the day-to-day administrative affairs of the President and CEO and providing administrative support to RMHC-ENC staff. This position also will work directly with other staff members to assure that adequate program administrative duties are well-documented and executed in an accurate and timely manner. The administrative assistant position will work to execute the organization’s mission while providing support in the areas of fundraising growth, donor relations/stewardship, and programs/operations.
POSITION QUALIFICATIONS:
1. Associate’s or Bachelor’s degree in related area required.
2. 2-3 years of administrative assistant experience required.
3. Professional, in both appearance and demeanor.
4. Strong computer skills, proficient in Microsoft 365.
5. Overall knowledge of business office administration systems and procedures.
6. Excellent interpersonal and written communication skills.
7. Able to perform basic life operational skills of walking, talking, hearing and repetitive motions.
8. Able to lift and move objects weighing 30 lbs.
9. Visual acuity to operate a computer terminal and read extensively.
ESSENTIAL RESPONSIBILITIES:
The Administrative Assistant position will require collaboration with other key team members to ensure execution of related tactics.
Specific responsibilities include:
· Scheduling appointments and other commitments for the President and CEO while providing background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, interviews, etc.
· Reviews, proofreads, and formats all correspondence prepared for the President and CEO’s signature to ensure accuracy and completeness, as well as consistency with organizational policy. Follows up with staff to ensure deadlines are met.
· Makes and reviews all travel arrangements, prepares itineraries (when necessary), confirms lodging and transportation, and processes travel reconciliation and expenses, etc.
· Where applicable, prepare and distribute relevant materials to board committees in advance of meetings. Provides support, as needed, during committee meetings and board meetings. Interacts with board members as needed.
· Assist with acknowledgement letters, tax letters, volunteer coordination and documentation, event staffing and preparation,
· Assist with data collection and reporting as needed.
· Perform administrative duties as assigned by the President and CEO and in support of other staff members (including filing, HR onboarding/offboarding tasks, meeting preparations, etc)

Pay: $15.00 - $21.00 per hour
