Job Summary
Primary responsibility is to plan, organize and direct all functions of the RGH Clovis Clinic. Establish policies and goals of the department. Supervise all departmental operations to ensure quality patient needs are met.
Essential Job Responsibilities

- Staff Management :
Ensures HIPAA is being upheld.
Acts as a role model for employees providing exceptional leadership.Manages personnel including hiring, orientation, assigning, counseling, discipline, training, education, evaluation and progressive disciplinary action according to current policy. Develops and implements performance and behavior standards of all direct reports (i.e., nurses, medical assistants, receptionists, and other support staff).Recruit, train, and evaluate staff performance, providing ongoing support and professional development.Create and manage staff schedules to ensure adequate coverage and avoid understaffing.Schedules personal meetings with staff members at minimum of 4 times per year for established employees (over 1 year) and 8 times per year for new employees (4 meetings in first 120 days, bimonthly meetings after). Keeps record of completed meetings with staff members.Provide training for new staff members to include a minimum of 2 full days with new staff members to orient them into the department.Lead multidisciplinary team meetings to discuss patient care and progress, including patient updates and challenges.Supervises activities and maintains working knowledge of registration, scheduling, referrals / prior authorizations, and clinical department roles such as medical assistants, community health workers, phlebotomists and nursesMaintains on-call schedule for weekend coverage.Schedules monthly staff meetings or weekly huddles to communicate department goals, current status, and upcoming challenges. Keeps a record of attendance and minutes for each meeting.Provide employees with guidance in handling difficult or complex problems and in resolving escalated complaints or disputes.Discuss job performance problems with employees to identify causes and issues and to work on resolving problems.Responsible for managing the Provider schedules and communicating changes to staff.Provide recognition to staff members when they have gone above and beyond.Patient Care and Experience :Ensure that patients receive high-quality care and a positive experience while at the clinic.
Address patient complaints or concerns and resolve issues promptly to maintain patient satisfaction.Oversee the appointment scheduling process and ensure that patient flow is managed effectively.Ensure the highest level of customer service from staff to patients and patient’s family.Ensuring adequate staffing to cover Registration, Referrals, and Clinical Departments of Clovis Clinic.Ensures all calls coming into the Clinic are answered in a timely manner. Ensures calls are correctly addressed. Monitors SLA reports and abandoned calls.Maintain the ability to perform all clinical duties of the support staff under supervision to ensure continuity of care and operational flexibility, particularly during staff shortages or peak demand times. Step into clinical roles as necessary, filling in for support staff during absences, or in cases of emergencies, ensuring high-quality patient care.Collaboration and Communication :Ensures the development and maintenance of strong relationships while actively addressing and fulfilling the needs of providers.
Ensures appropriate Clinic scheduling protocols are being followed.Communicates pertinent information to employees on a timely basis.Liaise between patients, families, and healthcare providers : Serve as a primary point of contact for patients and families, answering questions and facilitating communication.Communicate with external organizations : Work with external agencies, including social services, community programs, and rehabilitation centers, to ensure patients receive the full spectrum of care.Resolve both internal and external complaints relating to Clovis Clinic.Financial Management :Monitor and manage the clinic’s budget, supplies, and other operational costs.
Review financial reports and provide recommendations for improving revenue and reducing costs.Ensure billing procedures are accurate, and work with insurance companies and billing department to resolve claims and payments.Responsible for all timecard approvals, for all direct reports.Compliance and Regulatory Adherence :Ensure the clinic complies with all federal, state, and local regulations, including health and safety standards.
Maintain and update policies and procedures in line with healthcare laws and industry best practices.Ensure all staff adhere to legal and ethical standards in patient care and confidentiality (e.g., HIPAA compliance).Operational Oversight :Manage the clinic’s day-to-day operations, ensuring efficiency in processes such as patient intake, medical record management, and patient follow-ups.
Implement systems for maintaining patient records, ensuring that they are accurate and secure.Coordinate with medical professionals and other healthcare providers to ensure smooth workflow and continuity of care.Attend and actively participate in safety huddle daily.Responsible for tracking and reporting productivity of each employee to ensure the workload is being distributed fairly and the work is being completed in a timely manner.Participate in the following committees : Provider Meeting, Clinic Huddle, Clovis Clinic Monthly Staff Meeting.Inventory and Supplies Management :Oversee the procurement, storage, and distribution of medical supplies and equipment.
Monitor inventory levels and place orders for supplies when needed, ensuring the clinic is fully equipped to provide patient care.Technology and Systems Management :Oversee the clinic’s electronic health record (EHR) system and other technology used for patient management.
Ensure the proper functioning of clinic technology, including medical equipment, software, and databases.Implement upgrades or changes to systems to improve efficiency and patient care.Reporting and Analysis :Prepare and analyze reports on clinic performance, patient care metrics, financial performance, and staff productivity.
Provide regular reports to clinic owners, administrators, or board members.Identify areas for improvement and develop strategies to enhance clinic performance.Responsible for reporting monthly quality statistics to meet QMSOC obligations.Responsible for strategic plan development and reporting.Reviews employee and patient satisfaction survey results with staff and develops and implements action plans to improve the work environment.Health and Safety Management :Ensures departmental compliance with established policies, State licensure and other regulatory standards, including safety, environmental and legal requirements, and policies and procedures.
Participate in regular safety audits and risk assessments to identify potential hazards and implement corrective actions as well as lead post-code huddles.Non-Essential Functions

A high school diploma or equivalentThree to five years management experience in a clinic or healthcare facilityLPN / RN preferredProfessional Requirements
