Position Summary :
The Clinical Program Data Administrator will assist the Clinical Programs team with data management strategies and tools across a number of projects and initiatives. This essential role will ensure data management is well-planned, developed, and streamlined across programs and organization-wide. This includes development, dissemination, and oversight of standards for quality assurance and HIPAA / FERPA compliance; learns and maintains knowledge of a large number of applications from which Roots must regularly extract, process and recombine data for use; as well as project planning, organizing, and staffing activities. The Clinical Programs Data Administrator will also participate in training functions to a wide variety of staff to ensure skills and best practices are well-disseminated, ensuring a wide and appropriate level of information transparency and accessibility for staff and stakeholders. The successful candidate will also be highly motivated to support and uphold the Organization’s mission and goals in providing high quality, compassionate service both internally and within the community.
Duties and Responsibilities :
Oversees the ongoing data architecture processes and governance,
Develop, evaluate, and conduct quality assurance of data management systems for program and organizational needs
Research and evaluate new tools for improved data collection, analysis and visualization / reporting
Maintains knowledge of a large number of internal and external applications from which data must be extracted and processed; provides quality assurance checks of this process
Audit data on a regular basis to ensure data integrity and quality for specific program needs
Train staff as necessary on data operational activities for specific program and institutional needs
Perform data quantitative and qualitative analysis.
Assist in preparation of data reports, training materials, business presentations, publications, marketing collaterals, and other assets as needed
Assist / oversee the maintenance, backup and security of business, HIPAA, and FERPA covered data.
Make sure all required documentation and reports are completed in a timely manner.
Participate in staff meetings, supervision, agency meetings and staff training.
Competencies :
Passion for managing data and information systems in support of Roots’ mission to help uplift historically marginalized populations overcome barriers to health and prosperity
Willing to learn and strictly uphold best practices for managing clinical, HIPAA and FERPA data management requirements
Proficiency in spreadsheet applications (esp. Google Sheets), including the ability to write formulas, generate pivot tables and charts
Planning and designing data collection systems to ensure ease of data entry and capture of appropriate outputs for analysis / reporting
Willingness to learn and contribute to development of internal information management systems and databases
Training others in data skills and best practices
Ability to establish and maintain effective working relationships with co-workers, management personnel, the public and others.
Ability to work in a fast-paced environment and juggle multiple priorities.
Experience working in a non-profit organization, community clinic, or similar
Excellent attention to detail and critical thinking / analytic skills
