Primary Function/General Purpose of Position
Responsible for the total Materials Management function within their assigned areas of responsibility. Works with physicians, team leaders and staff to assure the supplies and equipment are ordered and used properly to reduce unnecessary consumption and/or waste. Ensure that proper procedures are followed. Will cost out supplies and inform the manager of any trends that may impact the budget. Assist when needed in the preparation of the annual budgets. Reviews monthly expense reports and purchase orders as applicable, investigate discrepancies and works with Finance to assure corrections are made or proper action is taken. Updates the Materials Management Information System (MMIS)
Responsibilities in Perioperative Services/Operating Room include, but are not limited to: purchasing all stock and non-stock supplies and equipment, management and control of the OR supply storeroom, management of the Case Cart system. The OR Materials Specialist will establish inventory and PAR levels for supplies and equipment and maintain availability at proper levels. Evaluates supply and instrument replacement of all new items, considering quality, availability and cost and recommends changes in supply levels. The OR Materials Management Specialist receives and puts away all products and keeps the supply rooms organized, and rotates inventory to eliminate outdated supplies.
Responsibilities in Physician Partners include, but are not limited to: The MMS will purchase products when applicable in support of all Physician Practices, and work with the Practice Managers and their staff toward the standardization of products and Materials processes when applicable and will work directly with the Purchasing Manager and Medical Surgical Distributor to process paperwork to ensure each practice is set-up correctly with the Group Purchasing Organization (GPO). Must be familiar with contracted items and will be responsible for communicating any contract related errors to the Contract Administrator and/or Medical Surgical Distributor. This position coordinates all contract conversions with each Physician Practice and the Medical Surgical Distributor. Responsible for maintaining the level of invoice discrepancies, open PO’s, and accrued receipts set by the Purchasing Manager. Acts as a liaison between the Medical Surgical Distributor representative, the Materials Staff, and the Physician Practices.
Essential Job Functions
- Coordinates and supervises the activities of Materials Management/O.R. personnel.
- Processes all purchase orders for the O.R. with the exception of capital requests.
- Ensures all supplies are received, rotated, distributed and re-ordered on a daily basis
- Oversees case cart system ensuring cases are pulled correctly and that any special requested items have been received.
- Works directly with team leaders and sales representatives in identifying cost and quality issues regarding supplies, instruments, and equipment.
- Updates supply requisitions, adding and deleting items from the inventory database and submitting price changes to the Purchasing department.
- Monitors the flow of supplies in regards to inventory turnover and par-levels and makes recommendations of any supply changes that need to be made.
- Provides utilization, cost, and supply reports to the Service Line Director, Materials Manager and/or O.R. Director.
- Works directly with the other O.R. Materials Specialist’s in the system, ensuring cost and quality of supplies are consistent throughout the system.
- Educates the O.R. staff through in-services and postings regarding changes, recalls, deletions, and additions of supplies, instruments, and equipment.

Licensing/Certification
Education
- High school diploma or equivalent (required)
- BA/BS degree degree (preferred)
Work Experience
Perioperative Services/Operating Room Position:
- Four years Materials Management (required)
- Two years experience in OR Environment (preferred)
Physician Partners Position:
- Four years Materials Management experience (required)
- Experience in a Physician Practice setting or Purchasing and/or Materials in a large hospital or multi-hospital system (preferred)

Working Conditions/Physical Requirements
Frequent sitting. Frequently requires long periods of working at a computer. Intermittent walking, standing, stooping, bending. Must be able to lift/carry 50lbs. Frequent use of finger/hand dexterity. Requires walking and standing with moderate to strenuous exertion in pushing, pulling, carrying and lifting medium to heavy weight supplies. Potential for injuries such as muscle strains and punctures require correct use of lifting and motion techniques. Skills
Hard/Tech/Clinical Skills:
- Knowledge of OR supplies/equipment and Case Cart System, Computer skills and knowledge of Materials Management System
- Basic knowledge of general purchasing principles.
- Solid knowledge of physician practice operations and materials management information systems (MMIS).
- Demonstrate a sound understanding of the principles of healthcare supply chain management; including Group Purchasing Organization (GPO) relationships, and supplier relationship management.
- Demonstrated strong knowledge of medical supplies and products used in hospitals and healthcare systems.
Soft/Interpersonal Skills:
- Excellent communication and written skills.
- Must be self-directed and able to work independently.
