What are the responsibilities and job description for the WS Administrative Assistant Admin position at ROSE ACRE FARMS INC?
POSITION DESCRIPTION: The role of the Administrative Assistant shall complete duties as directed by the complex manager. This position will fill in duties for the farm level personnel director. When the need arises, this position will fill in at the complex level in both quality control duties and general processing needs. The person filling this role will be versatile enough to step into both roles if there is not enough staff to handle the day’s run. Although processing duties will be the primary department this position will fill in for, this person will also assist the environmental department with paperwork needs.
ESSENTIAL JOB FUNCTIONS:
- Responsible for overseeing feed trucks as they come onto the farm, ensuring they are weighed and tagged properly, and filing all paperwork.
- Responsible for daily errands as required by the complex manager. This may include running into town for parts, calling on county agencies or helping with audits/logs, etc.
- Responsible for answering the phone/taking and delivering phone messages for the farm.
- Responsible for handling all purchases for the farm; includes handling all purchase order responsibilities with the main office.
- Responsible for human resource and payroll duties – recruiting, orientation and safety training, bio-security guidelines, and weekly attendance records, etc.
- Responsible for implementing OSHA safety standards such as hazard communication, lockout/tagout, and forklift certifications.
- Responsible for ensuring all required employee accident report investigations are on file and sent to the appropriate managers.
- Responsible for sorting all daily mail, organizing the office paperwork, and ensuring any memos/communications needed by farm management personnel are completed in a timely manner.
- Responsible for filling in for the farm level quality control/processing staff as needed by the complex manager (may include putting eggs back on the belt, packing, helping with the cooler or cleaning).
QUALIFICATIONS AND SKILLS:
- High school education is required. Skills in Microsoft applications are desired. Must be able to type proficiently.
- Previous management experience is desired (not necessarily agricultural) or is capable of performing management functions as determined by current farm management/complex manager.
- Previous office experience in word processing, filing systems, front desk duties, etc. is desired.
- Must be able to complete basic math functions – fractions, percentages, etc.
- Capable of working long hours if needed to complete special projects.
- Must have a valid driver’s license and a working automobile for off-farm errands as needed.
- Capable of working weekend shifts and maintaining a flexible schedule (will not be required on a constant basis).
- Possess excellent teamwork skills – must be willing to assist with other areas as needed by the complex manager.
- Ability to handle multiple tasks at once – the ability to deal with stressful situations and still get the job complete.
- Ability to treat co-workers and managers with respect and courtesy.
WORK ENVIRONMENT:
- Must possess the ability to work in an agricultural environment, indoors, outdoors, office, warehouse, processing, and farm production areas each varying in temperature, and other environment specific atmospheres.
- Must be willing and able to work past the scheduled leave time to complete the job, if needed.
- Must possess the ability to work in an open office setting.
- Must maintain professionalism with coworkers.
