Job Description:
We are seeking a highly motivated and detail-oriented Investment Operations Analyst to join our Investment Operations team. The ideal candidate will support the day-to-day operational and investment processes while assisting with the maintenance of various investment and client data. This role is an excellent opportunity to begin a career in the investment industry and gain exposure to a wide range of investment products, systems, and processes.
Key Responsibilities:
Ad Hoc Investment and Operations Requests:
- Handle ad hoc client requests and administration (document gathering, basic inquiries, login establishment, financial plan portal setup).
- Serve as a tax document liaison (K1/1099 inquiries).
- Manage CAIS & iCapital alternative investment order entry.
New Account Processing:
- Deliver the initial RCA onboarding questionnaire via DocuSign.
- Assist in opening new advisory accounts.
- Process Fidelity Advisor 529 new accounts.
- Screen mail, process mobile deposits, and log incoming checks via the Saxony portal.
- Act as a liaison between GPs and multiple custodians, including Pershing (primary) and Schwab (secondary).
Reporting and Documentation:
- Assist with the review and/or preparation of daily, weekly, and monthly reports, including performance reports (Black Diamond), transaction logs, and portfolio summaries.
- Complete quarterly broker-dealer questionnaires and provide supporting documentation.
- Support ongoing reporting and investment analysis.
Reconciliation:
- Perform reconciliations of performance, portfolio positions, and transactions against custodians, brokers, and other counterparties to ensure accuracy.
- Resolve any discrepancies in a timely manner.
Transaction Monitoring:
- Process and monitor investment transactions, including capital calls, structured note settlements, internal transfers, and wires.
- Address any discrepancies in trade execution or settlement.
Data Entry and Maintenance:
- Ensure the accuracy of investment data by entering relevant details into internal systems.
- Perform regular data integrity checks to keep portfolio holdings, transactions, and cash positions up to date.
- Support the maintenance and updates of investment management systems, ensuring accurate data capture.
Compliance and Control:
- Properly maintain digital in-house advisory and broker-dealer folders (complaints, incoming correspondence, outgoing/fax correspondence, pre-approved advertising).
- Prepare required quarterly broker-dealer filings.
- Assist in ensuring compliance with internal policies, external regulations, and investment guidelines.
- Escalate any issues or exceptions to the appropriate parties.
- Assist the team in preparing for the annual broker-dealer audit.
Process Improvement:
- Contribute to identifying and implementing process improvements to enhance the efficiency and effectiveness of investment operations.
Qualifications:
Education:
- A bachelor’s degree in finance, economics, accounting, business, or a related field is preferred.
Experience:
- 0-2 years of relevant internship or work experience in investment operations, finance, or accounting
Technical Skills:
- Proficiency in Microsoft Excel (formulas, pivot tables, and VLOOKUPs).
- Familiarity with investment management software (e.g., Black Diamond, Morningstar, etc.) is a plus but not required.
- Strong attention to detail with a high level of accuracy.
- Ability to handle multiple tasks and meet deadlines.
Knowledge:
- Basic understanding of financial instruments such as equities, fixed income, derivatives, and mutual funds.
- Knowledge of investment operations processes, trade life cycles, and settlement processes is desirable but not essential.
