As our Accounts Receivable Coordinator, you will manage and optimize the full accounts receivable cycle with a focus on accuracy, efficiency, and continuous improvement. You will play a key role in leveraging technology to streamline processes, enhance reporting capabilities, and ensure an exceptional customer experience, supporting the organization's broader financial health and operational goals.

Our ideal candidate will be proficient with modern financial tools, have a proactive approach to collections, and the ability to analyze and improve cash flow processes. DAY-TO-DAY :

  • Generate and send invoices and statements based on sales orders and contracts, ensuring accurate recording in the accounting system.
  • Collaborate with cross-functional teams (e.g., Sales, Sponsorships) to streamline the invoicing process and ensure alignment with contract terms.
  • Record and reconcile daily box office transactions, customer payments (ACH, credit cards, checks), and credit card activity.
  • Allocate sponsor promotion expenses and process intercompany invoices with accuracy.
  • Maintain clean AR subledgers and support month-end close by ensuring reconciled journal entries.
  • Assist with audits by preparing schedules, reconciliations, and supporting documentation.
  • Proactively monitor outstanding balances and lead timely collections efforts.
  • Build and maintain strong customer relationships to resolve disputes, assist in negotiating payment plans, and improve on-time payments.
  • Analyze trends in late payments and propose solutions to reduce days sales outstanding (DSO).
  • Assess customer accounts for credit risk and recommend appropriate bad debt allowances.
  • Collaborate with leadership to minimize financial exposure and improve credit terms.
  • Prepare AR aging reports, cash flow forecasts, and collection metrics.
  • Track key performance indicators (KPIs) like DSO and collection rates and provide actionable insights to leadership.
  • Identify and implement process improvements, leveraging tools like NetSuite to automate tasks and enhance efficiency.
  • Stay current with AR technologies and trends to ensure scalable and modern processes.
  • Serve as the main point of contact for AR inquiries, ensuring timely resolution and exceptional service for internal and external stakeholders.

WE'D LIKE TO HEAR FROM YOU IF YOU HAVE :

  • Proven experience in Accounts Receivable or related field.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience with accounting software; familiarity with NetSuite is strongly preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication, time management, and interpersonal skills.
