We are seeking a highly detailed and professional Estate Manager for a prominent high-profile family in Malibu. Must have five plus years of relevant experience working for high-profile and / or celebrity employers. The candidate will be heavily vetted and must be able to provide at least three verifiable references. This position will provide complete management and oversight of a stunning property in Malibu, and an additional property in New York. The individual must consistently use discretion and diplomacy to maintain confidentiality while always acting as a trusted advisor and advocate on behalf of the Principal. Remain proactive, highly organized and observant, have impeccable attention to detail and the ability to be relied upon to make sound decisions in the absence of detailed instruction. Maintain excellent written and oral communication skills as there will be daily interactions with the Principal and their representatives.
Schedule :
Monday-Friday 8 : 00am-5 : 00pm, with 24 / 7 mentality and flexibility to start earlier, stay later, work evenings and weekends, travel, and occasionally dog-sit when requested.
Duties and Responsibilities :
- Oversee and manage day-to-day staff and the smooth operation of residences in Malibu and New York, maintaining standards resembling those of a 5-star hotel and superyacht.
- Continuously train on-site staff to maintain high standards of service and a positive work environment, ensuring a warm and pleasant atmosphere.
- Assist Principal and guests with any personal requests.
- Daily walk-throughs of the entire Malibu property, searching for anything in need of repair and ensuring everything is operating properly. Always prioritize property security and ensure gates remain closed and locked at all times.
- Implement and oversee preemptive and routine scheduled maintenance of both properties, all structures, and all systems.
- In person management and overseeing all construction and design projects, from start to finish, both interior and exterior, checking vendors work in detail prior to allowing them to leave.
- Obtain multiple estimates when needed, reviewing and negotiating contracts and estimates to ensure consistency so that the Principal can make an educated decision based on work to be performed and the cost involved.
- Source and manage staff, contractors and other vendors, while acting as a liaison between the Principal and all other parties.
- Conduct regular staff and vendor meetings to review procedures and administer ways to improve operations.
- Create and routinely update household manuals for all systems, A / V and security equipment, household preferences and procedures, emergency and evacuation plans.
- Create and update lists of all inventories, contents, warranties, and property upgrades.
- Upgrade the property to be completely sufficient during a natural disaster, such as fire and earthquake proofing. Preemptively mitigate any potential risks for damage to the property during such an event.
- Troubleshoot any A / V issues that arise.
- Routinely implement a new standard of high-level security protocols to ensure every person on the property is vetted and approved to be on-site.
- Create and implement ways to ensure the guest experience is in line with 5-star hotel and superyacht standards.
- Ensure proper maintenance and cleanliness of all vehicles.
- Additional tasks and duties as requested by the Principal and their representatives.
