What are the responsibilities and job description for the Procurement Coordinator position at Rosen Hotels & Resorts?
Summary:
The Procurement Coordinator is responsible for coordinating the procurement of goods and services, such as raw materials, equipment, tools, parts, supplies, and advertising for the organization. They will work with vendors to obtain materials in a cost-effective manner.
Responsibilities:
- Confers with vendors to obtain product or service information such as availability and delivery schedule.
- Communicates with end user status of orders, estimated time of arrival, backorders, tracking information, etc.
- Maintain updated order logs in procurement software and excel.
- Reviews and resolves outstanding open purchase orders.
- Communicates any order discrepancies to Procurement Specialist/Junior Specialist to prevent delays in delivery to the properties.
- Discusses defective or unacceptable goods or services with vendors to determine source of trouble and take corrective action.
- Request and follow through on return authorizations to ensure credit is received and applied.
- Reconciles invoices, posts in procurement software, and gathers necessary documentation to submit to Assistant Director of Procurement for approval through DM.
- Assist Accounts Payable Department on credit card statement reconciliation.
- Follows month end closing and accrual procedures and timeline.
- Issue Manual Purchase Order numbers to Engineering’s administrators via phone or email.
- Works closely with Engineering Office Manager to reconcile manual purchase orders, records invoices received for the Engineering Department, and ensures invoices have proper coding and signatures before sending for payment.
- Conducts inventory of OPS Building cleaning and paper supplies.
- Assists in receiving and putting away orders received for OPS Building cleaning & paper supplies.
Experience/Qualifications:
- Previous related experience preferred
- Must be able to legally work in the USA
Education and Certification(s)/License(s):
- High school diploma or equivalent preferred
