Treatment Plan Care Coordinator - Join Our Dynamic Dental Team!

Our dental office is currently seeking a highly motivated and experienced Treatment Plan Coordinator to join our dedicated team. Dental related experience is a requirement for this role.
Responsibilities:
- Answering phone calls and addressing patient inquiries with professionalism and enthusiasm.
- Warmly greet patients and ensure a positive and welcoming experience upon their arrival.
- Verify insurance for today’s patients
- Review today’s scheduled treatment plans
- Confirm patient co pays are on visits of the day
- Confirm financing options for patients (Cherry, CareCredit, in-house, etc.)
- Print or prep treatment plan documents
- Coordinate with clinical team on any changes to treatment plans (if needed)
Patient Communication
- Present treatment plans to patients clearly and confidently, in terms the patient will understand
- Answer all patient questions regarding procedures, costs, and timelines
- Offer payment options and explain payment plans when needed
- Collect necessary signatures and consent forms
- Send copies of treatment plan home with patients
Insurance & Financial
- Confirm accurate insurance estimates are in the system
- Review patient portions and collect co-pays or deposits
- Enter financial arrangements and notes into patient account and upcoming visits if copayments are split
- Submit pre-authorizations as needed
Follow-Ups & Scheduling
- Call or text unscheduled treatment plan patients
- Reschedule canceled treatment appointments
- Coordinate with specialists if referrals are needed
- Check for patients due for second phase or follow-up visits
- Track case acceptance and note patient status
•Look ahead the weeks coming up, filling in openings
End of Day
- Review tomorrow’s treatment plans, confirm patients insurance
- Ensure all notes and financials are updated in system
•Copayments are listed in visit
- Touch base with clinical team on any patient concerns
- Flag patients needing call-backs or additional follow-up
- Back up daily documents and scan signed
- Confirm all credit card payments of the day match the end of day report.
Qualifications:
- High school diploma or equivalent.
- Proficiency in dental practice management software, basic dental terminology.
- Dependable and detail-oriented, with excellent organizational skills.
- Customer service oriented with a pleasant demeanor in all communications.
- Effective written and verbal communication skills.
- Strong PC skills and ability to quickly learn new programs.
- Exceptional interpersonal and relationship-building skills.
