Job Summary:
The Transactional Legal Assistant provides administrative and legal support to Rosenblatt Law Firm (RLF) Transactional Attorneys. They assist in preparing, organizing, and managing legal documents. Legal Assistants must possess strong organizational skills, attention to detail, excellent written and verbal communication skills, and the ability to work independently or as part of a team.
The role of an RLF Transactional Legal Assistant is crucial to the transactional team's ability to ensure smooth and efficient legal operations. They contribute to the success of transactions by providing reliable administrative assistance and maintaining accurate and well-organized documentation.
Duties/Responsibilities:
• Document preparation: Ensure accuracy, consistency, and adherence to RLF formatting and requirements. Assist Paralegals with transactions, such as mergers and acquisitions, corporate formations, real estate transactions, probate, and estate planning preparation. Gather and organize relevant client documents as needed for each matter.
• File management: Organize and maintain electronic and physical files, ensuring they are accurately labeled, indexed, and easily accessible.
• Client communication: Interact with clients, in-person, via email, and telephone, to collect necessary information and provide updates on case progress as instructed by paralegals. Maintain professional and confidential communication with clients, opposing counsel and other relevant parties.
• Calendar Management: Assist in management of the attorneys’ calendars, schedule meetings, and other events. Remind attorneys of deadlines and assist with time management to ensure timely completion of tasks.
• Billing assistance: Collaborate with the billing department to ensure accurate and timely invoicing of all expenses.
• Administrative support: General administrative support to attorneys, organizing meetings, preparing meeting materials, and assisting with other administrative tasks, as needed.
• Team collaboration: Collaborate with paralegals, attorneys, and other legal professionals to support the overall efficiency of RLF.
• Professional development: Stay up to date with legal trends, changes in law, and best practices related to transactional law. Attend relevant training programs or seminars to enhance knowledge and skills.
