Major Accountabilities

Manage all commercial tenant onboarding, service and support workflows
- Oversee commercial tenant onboarding process, ensuring smooth transition for new tenants from lease signing to occupancy.
- Collaborate with Building Engineering team members, facilitating communication and coordination to address all tenant service tickets promptly.
- Maintain regular contact with operations staff for each tenant; seek opportunities to build positive relationships with all stakeholders at various levels.

Tenant Issue Resolution & Communications
- Resolve service requests; ensure proper tenant approval and billing processes.
- Communicate with tenants in a professional and proactive manner, resolving or escalating any unmet expectations.
- Craft clear, concise, and timely mass communications to tenants.
- Collaborate with Marketing team on tenant engagement communications.

Quality of Building Experience
- Inspect properties regularly to ensure company and tenant expectations for curb appeal, cleaning, etc. are met.
- Organize and prioritize required improvement or corrective projects w/ Building Engineering team.
- Communicate with and drive internal staff and outside vendors to improve or correct quality as needed.
- Oversee and attend tenant engagement events and building amenity programs.

Vendor Management – Contract Services
- Hold vendors accountable for meeting company and contract schedules and specifications.
- Maintain up-to-date information and contract files for building vendors in coordination with PM Coordinator.
- Collaborate with PM team in vendor selection and bid processes.
- Hold vendors accountable for meeting company and contract schedules and specifications.
Other General Duties and Expectations
- Ensure that departmental procedures are documented, consistent, and coordinated with other RDC departments (accounting, administrative, and construction). Promote internal communication and collaboration in all respects.
- Ability to be on call as backup escalation point for any building emergencies.
- Attain familiarity with commercial Building Management Systems (BMS) including security, HVAC, tenant portal, access control, etc.
- Pursue personal development by engaging with internal resources and/or outside training in best practices for commercial property management
- Provide backup coverage for property leasing needs, including property tours, preparing documents, and managing communications to ensure seamless operations and client satisfaction.
- Provide backup coverage for other properties and managers as needed.
- Other duties as assigned.
Knowledge, Skills, & Abilities
- Strong verbal and written communication skills with ability to build and maintain B2B relationships and provide professional customer service to tenant contacts.
- Strong attention to detail, organization, and time management skills, with the ability to prioritize multiple tasks seamlessly.
- Strong interpersonal skills and ability to work effectively with a diverse community.
- Intermediate proficiency in web and desktop application platforms, including Microsoft Office Suite, CRM, and project tracking (Asana, etc), with the ability to gain proficiency in various BMS systems (Prism, access control, etc).
- Collect, interpret, and/or analyze complex data and information. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
- Must be able to speak, read, write, and understand the primary language(s) used in the workplace; bilingual skills are a plus. Ability to read, analyze, and interpret general business information, including but not limited to Company policies and procedures. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Understand and respond to a diverse population.
- Ability to calculate basic figures and amounts such as totals, averages, percentages, fractions, etc., using calculators and basic Excel formulas.
Minimum Job Requirements
- Minimum 2 years of experience in the property management industry, or related equivalent experience.
- Associate’s degree or relevant professional experience.
- Excellent interpersonal and written communication skills, including a professional and positive communication style.
- Proven ability to build and maintain quality relationships with tenants, vendors, and team members.
- Ability to work with sensitive files and maintain confidentiality.
