The EOF Operations Specialist is responsible for assisting the EOF staff with work related to EOF State compliance and the assigned tasks affecting the operations of the department. The Specialist provides exceptional customer service and acts as the first point of contact regarding prospective EOF students visiting the EOF office via in person or phone.

- Provides general office assistance, including but not limited to answering phones, responding to emails, relaying messages to EOF staff, and scheduling student interviews and appointments.
- Updates EOF Staff calendars, as needed.
- Creates marketing content and facilitates EOF campaigns for on and off campus initiatives while collaborating with the RCSJ Marketing and Design Department.
- Stays up to date with social media and marketing trends that align with current and prospective EOF students.
- Updates and revises the EOF Standard of Operations to distribute to staff in alignment with state regulations and program changes.
- Provides recommendations and suggestions for overall program improvements in any aspect related to program efficiency and student engagement.
- Maintains the EOF file room and creates student files and office documents, as needed.
- Provides data entry management for EOF applications and documentation collection for initial student files.
- Maintains and creates office documents, brochures, and flyers, as needed.
- Maintains requisitions, purchase orders, and other general finance-related documentation, as requested by the Executive Director and Assistant Director.
- Collaborates with institutional vendors to secure quotes, process invoices and ensure program orders are received.
- Monitors the general EOF email account text message system and responds promptly and accurately to any inquiries.
- Under the direction of the Assistant Director, assists in department social media content management.
- Assists in the management of the EOF webpage and ensures EOF documentation around campus is up to date and accurate.
- Assists with state reporting including, but not limited to the B1, B2, B3 budgets, winter budget, and annual report.
- Assist the EOF staff with various recruitment activities and recruitment data management.
- Assists with the EOF Summer Institute program, workshops and maintains all data management associated with events.
- Assists in collection of information for assessment of student learning outcomes, student development outcomes, and administrative services outcomes by copying or distributing materials.
- Provides prospective EOF students and families with information pertaining to the EOF program. This includes: EOF application, eligibility requirements, information on required documentation for admission, and the mission and intent of the EOF program.
- Performs other duties, as assigned.
- Associate degree in education, Business, or related field required, Bachelor’s preferred.
- Three years’ experience in a related professional office environment required. Prior experience in higher ed or educational setting preferred.
- Excellent computer skills, including proficiency in all Microsoft Office applications including Outlook, Word, Excel, and Access
- Experience creating marketing material and content
- Knowledge of federal and state financial aid programs
- Experience with Banner Student Information Systems, or similar ERP system preferred.
- Ability to work with discretion, maintain confidentiality, and exercise sound independent judgment
- Possess the ability to work well and communicate effectively with prospective and current students, staff, faculty, administration, and colleagues and community partners
- Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic and ethnic backgrounds of community college students, faculty, and staff and a commitment to a student-centered environment
