Technology Administrative Assistant
Purpose:
The Technology Administrative Assistant is responsible for supporting the Technology Department through financial oversight, eRate compliance, and managing various district-wide technology programs. This position ensures that the department operates efficiently by handling administrative, budgetary, and technical tasks while assisting the leadership team in implementing district technology initiatives.
Key Duties and Responsibilities
- Maintain the Technology Department’s budget, tracking expenses, reconciling accounts, and providing financial reports.
- Align financial and technology goals with district initiatives, communicate with stakeholders, and recommend cost-saving adjustments.
- Ensure compliance with budgetary policies and procedures.
- Provide accurate and timely financial information to support decision-making.
- Manage the eRate compliance, documentation, and reporting requirements.
- Manage the district’s cell phone program, including procurement, distribution, inventory control, and plan optimization to minimize costs.
- Work with vendors and stakeholders to ensure smooth implementation and updates of technology-related integrations.
- Assist the Technology Department leadership team with administrative tasks, scheduling, and project coordination.
- Manage the Technology Department’s calendar, including scheduling meetings, coordinating events, and handling travel arrangements for department staff.
- Maintain and organize department records, including contracts, purchase orders, invoices, and compliance documentation.
- Assist in drafting and editing policies, procedures, and documentation for technology-related processes.
- Assist with technology purchasing by eliciting quotes, managing purchase orders, coordinating with vendors, and ensuring timely delivery of equipment
- Maintain vendor relationships and coordinate contract renewals for technology services and software.
- Ensure compliance with district policies and budget constraints when working with external vendors.
- Assist in the Request for Proposal (RFP) process for new technology solutions.
- Maintain office administration, including ordering office supplies, managing equipment, and ensuring an organized workspace.
- Professional skills when answering telephones, taking messages and scheduling appointments
Qualifications
- Experience in financial management, budgeting, or administrative roles, preferably in an educational or governmental setting.
- Familiarity with eRate program requirements and compliance.
- Knowledge of technology system integrations (e.g., ClassLink, SIS, MDM).
- Proficiency in Microsoft Office Suite & Google Suite, including Word, Excel, PowerPoint, Outlook, Google Docs, Google Sheets, Google Slides, and Gmail.
- Strong organizational, problem-solving, and communication skills.
- High attention to detail and accuracy in financial and administrative work.
- Ability to work independently and collaboratively in a fast-paced environment.
Term of Employment: 12 months
Salary Schedule: Grade J
