Summary
Non-Profit Day Care Center is seeking a qualified Business Manager to help supervise collections and billing operations in addition to overseeing day-to-day operations. Skills required are organizational, great time management, experience in billing and collections, knowledge of excel and all other MS applications and the desire/ability to excel in a team environment. Payroll and HR experienced with the ability to prepare budgets. Knowledge of financially managing a non-profit organization a plus.
Duties
Weekly
Accounts Receivable
- Collect Tuition-Preschool BASP
- Post to ProCare according to program and events
- Set-up new ProCare profiles for new Preschool, Camp BASP clients.
- Prepare aging reports for billing
- Prepare invoices for clients email
- Prepare bank deposits make daily deposits.
- Monitor outstanding accounts – dunning letters collections if necessary
- Order weekly classroom supply lists
- Monitor and oversee food and snacks purchase for all programs.
- Ensure Center building maintenance is current in compliance with OOL regulations.
- Check classrooms regularly for any necessary extra cleaning.
- Prepare bills for agency
Biweekly
Payroll
- Prepare payroll for Preschool, Before and After School Program and Summer Camp
- Check timecards
- Submit payroll online to payroll company
- Prepare journal entries to post payroll to general ledger
- Keep track of all non-managerial staff days off using payroll platform as well as manually in binder.
Accounts Payable
- Post payables to General Ledger
- Present checks to Executive Director for signing
- File, accordingly, paid receipts for audit
Monthly
- Reconcile bank statements and post to general ledger
- Prepare budget report for monthly board meeting
- Conduct log in fire lockdown drills
- Assist with HSA, Child and Adult Food program, Grow NJ Kids, any grants, etc.
Semiannually
- Provide financial information to Executive Director and/or Assistant Director
- Assist with preparation of budgets for all programs
- Prepare all information for auditors
- Set up new files in ProCare for upcoming school year for Preschool, BASP or Summer Camp
Requirements
AS/BA in business accounting or finance with experience preferred.
