**Office Manager**
**Job Overview:**
We are seeking a dynamic Office Manager to join our team. The ideal candidate must speak English, which would be a plus if you speak Spanish. The candidate will oversee the daily operations of our office, ensuring efficiency and supporting the team in various administrative tasks. We use Buildium and QuickBooks Software, and If you are organized, detail-oriented, and possess excellent communication skills, we invite you to apply for this role.
**Responsibilities:**
- Manage office operations and procedures to ensure organizational effectiveness.
- Coordinate and schedule meetings, appointments, and events.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipate needed supplies, and evaluate new office products.
- Oversee administrative staff and allocate responsibilities to ensure maximum productivity.
- Assist in budgeting and financial tasks such as invoicing and expense tracking.
- Send notices of delinquent accounts and violations
- Get estimates for jobs that need to be done.
- Handle phone calls, emails, and other communications with professionalism.
- Organize and maintain files and records.
- Be present at board meetings and take notes.
- Support HR functions such as onboarding new employees and maintaining employee records.
**Requirements:**
- Proven experience as an Office Manager or similar administrative role.
-Know Buildium Software and QuickBooks
- Excellent organizational skills with the ability to prioritize tasks.
- Proficiency in QuickBooks for financial management tasks.
- Strong team management skills to lead and motivate staff effectively.
- Ability to handle multiple projects simultaneously with attention to detail.
- Knowledge of clerical procedures and systems such as filing.
- Exceptional phone etiquette and communication skills.
