Job Description
We are seeking a self-motivated, reliable, and trustworthy Administrative Coordinator with technical experience. We are looking for an individual who will strengthen our office operations with exceptional communication, increased productivity, tech savvy, and analytical problem-solving skills. This position will be responsible for performing administrative and general office responsibilities as well as technical support that supports the day-to-day company operations.
Primary Responsibilities
- Organize daily workflow.
- Answer and direct phone calls.
- Respond to client requests, inquiries, and complaints. Performs follow-up functions to ensure problem resolution and high levels of client satisfaction.
- Serve as support and liaison between the office, lab, and CEO.
- Processes Customer Orders and send invoices.
- Processes Vendor Orders and track expenses.
- Work with production to ensure customer demands are met and all inquiries are followed up.
- Inventory maintenance and reports.
- Update and maintain office policies and procedures.
- Lead office meetings and take detailed minutes.
- Work with team on marketing and website tasks.
- Duties and responsibilities may change from time to time without notice. They include but are not limited to the responsibilities described above.
Qualifications
- 3-5 years of proven experience as an office administrator, office coordinator, office assistant, inventory management, or relevant role.
- Must be able to function independently or with a team.
- The ideal candidate will be skilled in prioritizing work and working with little supervision ensuring smooth running of our company’s offices and contributes in driving sustainable growth.
- Understand steps that need to be taken to complete tasks with little to no guidance.
- Excellent organization skills and leadership skills, ability to create efficiencies with workflow.
- Ability to keep pace with high volume of work, meetings, etc.
- Make educated and informed decisions when necessary.
- Deal with deadline pressures and conflicting priorities.
- Handle sensitive and confidential information with complete discretion.
- Team player with positive, professional attitude.
- A good cultural fit for the team and company.
- Excellent communication skills, including written and verbal.
- Proficiency in MS Office Suite.
- Website maintenance and SEO knowledge are a plus.
- Strong in quantitative and data analytics skills - numerically inclined.
- Excellent interpersonal skills.
- Professional phone and email etiquette.
- Hardworking, organized, and driven.
- Ability to multi-task, prioritize work and handle multiple priorities at once.
- Must be flexible and okay with change.
- Ability to build rapport with strangers over the phone.
- Industry background preferred.
- Bachelor’s degree preferred.
Job Type: This is a full-time in-person position, Monday through Friday, 8am to 5pm. Benefits included.
