Your Role
RPM has undergone significant transformation over the last several years. Due to its explosive growth in the brokerage market, we are seeking a Business Support Specialist who will provide high-level administrative support to the President, Employee Experience department, and Office Operations. This role is responsible for efficient daily operations by executing tasks assigned by the President, handling confidential Employee Experience documents, and ensuring the office is fully operational. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced environment while maintaining professionalism and discretion.

Your Role

Day-to-Day Responsibilities
Assistant to the President (33%):
- Managing the President’s calendar, scheduling meetings, and appointments
- Preparing reports, presentations, and documents for meetings
- Organizing board meetings, executive meetings, and company events
- Taking and distributing meeting minutes
- Arranging travel itineraries, accommodations, and logistics for the President and Exec team
- Assisting in managing special projects assigned by the President
- Tracking project progress and ensuring deadlines are met
- Other projects as assigned
- Manage office supplies, equipment, and facilities to ensure a well-functioning workspace
- Assist in scheduling meetings, coordinating travel arrangements and ordering meals
- Maintain office organization, conducting inventory, ordering of supplies, and restocking the office daily
- Support the preparation of reports, presentations, and internal communications
- Other tasks as assigned
- Maintain and update employee records, ensuring compliance with company policies and labor laws
- Benefits Administration support
- Support onboarding and offboarding processes for new and departing employees
- Help coordinate employee engagement activities and events
- Handle confidential Employee Experience documents and ensure data security. Other tasks as assigned
- Assist in the recruitment process, including posting job openings, sourcing prospects, screening resumes, and scheduling interviews
- Other tasks as assigned
- Assist in organizing training programs, workshops, and new hire training. Other tasks as assigned
- Bachelor’s degree in human resources, Business Administration, or a related field
- 2-3 years of experience in an administrative or HR support role
- Experience with HR software and office management tools is a plus
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to handle sensitive information with confidentiality
- Detail-oriented and proactive in problem-solving with all assignments
- A ‘roll up your sleeves’ / ‘no job is too small’ mentality
