Job Summary:
We are looking for a meticulous and detail-oriented professional to work as a Legal Assistant providing essential support to our legal team through a variety of administrative and client service tasks. The ideal candidate will possess experience in managing calendars, handling client billing, and managing legal documents. This position demands a high level of professionalism, excellent communication skills, and the ability to efficiently multitask in a dynamic environment.
Key Responsibilities:- Maintain both original and electronic client documents, ensuring they are organized and confidential.
- Coordinate and schedule calls and meetings, while managing the calendar for assigned attorney(s).
- Create, maintain, and close client matter files in accordance with firm procedures.
- Oversee the conflicts check process for new matters.
- Assist with the preparation of monthly billing and client invoicing.
- Communicate with clients to schedule appointments and provide updates on their cases.
- Submit reimbursement requests on behalf of assigned attorney(s).
- Accurately prepare client estate planning booklets.
- Perform administrative tasks, such as copying, scanning, and managing shipments, including FedEx and US Government Client shipments.
- Attend client meetings to witness and/or notarize signatures.
- Offer additional administrative support to attorneys and legal staff as needed.
- Minimum of three years of relevant work experience, ideally with a background in calendar management and client billing.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and Adobe Acrobat.
- Notary Public Commission is preferred.
