Position Summary
The primary purpose of the Safety Administrative Assistant position includes but is not limited to front desk coverage, telephones, company files, distribution of mail, and record keeping and data entry. The goal is to provide Administrative Support to each Department for the Knoxville Terminal.
**This position is located off exit 398 for Strawberry Plains in Knoxville, TN**
Roles & Responsibilities
Documentation Management:
Maintain and organize safety-related documents, including driver records, vehicle inspection reports, and safety training materials.
Data Entry:
Enter and update safety-related data in databases, tracking systems, and spreadsheets.
Ensure accuracy and completeness of information.
Communication Liaison:
Serve as a point of contact for internal and external communications related to safety matters.
Relay safety updates, announcements, and policies to relevant parties.
Recordkeeping:
Maintain organized records of driver qualifications, certifications, and compliance with safety regulations.
Ensure all documentation is up-to-date.
Report Generation:
Assist in generating regular safety reports for management, summarizing key metrics, incidents, and compliance status.
Meeting Coordination:
Schedule and organize safety meetings.
Prepare agendas, distribute materials, and record meeting minutes.
Follow up on action items.
Regulatory Compliance Support:
Assist in ensuring the trucking company's compliance with safety regulations.
Stay informed about regulatory updates and support efforts to implement necessary changes (OSHA).
Accident / Incident Documentation:
Support the documentation of safety incidents, accidents, or near-misses.
Assist in gathering information for incident reports and investigations.
Administrative Support:
Provide general administrative support to the safety department.
Answer phones, manage emails, and handle routine correspondence.
Database Maintenance:
Regularly update and maintain electronic databases related to safety.
Ensure accurate and timely information retrieval.
Emergency Response Coordination:
Assist in coordinating emergency response procedures.
Establish communication protocols, evacuation plans, and contact lists.
Qualifications:
Trucking industry knowledge (Preferred but not required).
Understanding of Hours of Service (HOS), Operations, and Load Securement.
Familiarity with FMCSA Regulations.
Familiarity with OSHA (Preferred but not required).
Good computer skills.
Good communication skills.
Works well as part of a team.
Attention to detail.
Willing to take on additional tasks as assigned.

Hourly Pay Range: $19 - $21 (depending on experience)
