Overview
RTW Investments is seeking a Production Coordinator who will be responsible for handling the logistics of our RTW Podcast and firm video projects. The individual for this role must be detail-oriented, a natural at project management, and should be familiar with video/audio production.
This position is full-time and reports to the Senior Associate, Brand Experience.
Key Responsibilities
Project Management
- Maintain detailed production timelines, project plans, and milestones to ensure deliverables are met.
Cross-functional Collaboration and Vendor Management
- Collaborate with creative, account, and production teams to execute projects and communicate changes.
- Serve as the primary point of contact for production inquiries and updates.
- Research and book vendors, speakers, and locations as needed.
Pre-Production and Logistics
- Lead onboarding of freelancers, share policies, and help manage travel, accommodations, studio rentals, and on-site logistics.
- Sharing scripts and prep materials with participants and coordinating on-site guest experience
- Help producer secure resources, equipment, and permits, and manage studio inventory.
Content and Quality Control
- Provide feedback on scripts, storyboards, and rough cuts to meet brand expectations.
- Stay up-to-date with media trends and technologies.
Administrative Support
- Send shoot confirmations and organize meetings, and filming sessions with vendors, speakers, and team members. Collect newsroom notes and share with stakeholders.
- Collect vendor invoices and signatures, production insurance certificates, and expense submissions.
- Maintain accurate documentation for all production activities.
Qualifications and Skills
- Bachelor’s degree in broadcast or film (or equivalent experience.)
- 2–5 years of experience in production coordination, project management, or a similar video production role, live events, webinars, or podcasts.
- Experience in end-to-end audiovisual production (pre-production, production, and postproduction.)
- Proficiency in tools like Airtable, Trello, or Teams and scheduling software.Familiarity with audiovisual equipment (Tricaster,) software (e.g., Adobe Premiere Pro,) and file formats.
- Familiarity with budgets, vendor contracts, financial reporting, insurance and legal documentation (e.g., COIs, permits.)
- Excellent verbal and written communication skills in order to liaise effectively with internal and external stakeholders, and leadership.
- Ability to work under pressure, adjust to changing project requirements, and meet tight deadlines.
- A proactive, team-oriented attitude with a passion for problem-solving and delivering high-quality results.
- Must be able to work from our New York City office 4-5 days per week.

The base salary for this New York-based position ranges from $75,000 to $85,000, depending on experience, skills, and responsibilities. Actual salary may vary based on qualifications and the level at which the role is hired. In addition to the base salary, the role includes a discretionary incentive compensation program, and a full benefits package, including medical and life insurance, retirement plans, tax-free savings options, and access to other healthcare programs.
