What are the responsibilities and job description for the Fleet Services Associate position at Ruan Transportation Management Systems?
Process and prepare work orders, purchase orders, and invoice vouchers with a high level of accuracy for assigned shops. Work with Service Managers and vendors to resolve discrepancies to ensure invoices are resolved and processed in a timely manner.
Responsibilites: Carrying out the Company's organizational values and operating in accordance with applicable laws, regulations, and Company policies are required functions. Essential and other important responsibilities and duties may include, but are not limited to, the following:
- Provide administrative support to Ruan maintenance shop(s), including, but not limited to, creating and processing work orders, ordering and receiving parts, and processing invoice vouchers.
- Ensure effective and thorogh communications with Technicians, Service Managers, Fleet Services Supervisors for issue escalation and resolution.
- Provide customer service support for Technicians, Service Managers, and Regional Maintenance Managers.
- Obtain missing documentation from outside vendors or vendor websites to ensure accurate invoice processing.
- Ensure effective and thorough communication with Technicians, Service Managers, Fleet Services Supervisors for issue escalation and resolution.
- Perform other job-related duties and special projects as required.
This is an onsite position working in Des Moines, Iowa.
Schedule: Monday - Friday
Hours: 8:00AM - 5:00PM
Job Requirements/Minimum Qualifications:
Education: High School Diploma/GED or equivalent work experience
Experience: 1 -2 years
Type of Experience: Clerical, Transportation, Payroll, or related experience
Required Knowledge, Skills, and Abilities:

Must have strong verbal and written communication and the ability to effectively communicate with diverse groups of people. Needs to be self-motivated and be able to work with minimal supervision. Needs to be flexible in work assignments, responsibilities, software programs, and hours and open to change. Duties may vary based upon individual operation or work location.
Physical Demands of the Job: Operate office equipment; including telephone, fax machine, personal computer, have reasonable accuracy and keyboarding speed; bend, twist, pull, push, and lift up to 25 pounds to accomplish duties of the position; work in excess of 8 hours per day, 40 hours per week, as required to perform essential functions.
