Rubin Wealth Advisors is seeking a dedicated and detail-oriented Client Service Associate to join our team and support our Financial Advisors. Key Responsibilities:
Client Service & Relationship Management:
- Serve as the primary point of contact for clients, addressing inquiries and providing timely solutions.
- Support clients with financial products, account maintenance, and transaction processing.
- Build and nurture lasting client relationships through personalized, high-touch service.
Operational & Administrative Support:
- Open, update, and maintain client accounts with precision, ensuring compliance and data accuracy.
- Process financial transactions, including transfers, contributions, and distributions.
- Prepare client documentation, reports, and maintain organized client files.
- Schedule and facilitate both virtual and in-person meetings using Microsoft Teams and Zoom.
- Assist with regulatory compliance and internal process adherence.
Technology & Financial Systems:
- Leverage Schwab systems and platforms to support account administration and portfolio management.
- Utilize Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) to generate reports, presentations, and correspondence.
401(k) & Retirement Plan Administration:
- Assist with 401(k) plan enrollments, distributions, rollovers, and participant inquiries.
- Ensure retirement plan transactions align with regulatory requirements and client expectations.
Industry Knowledge & Team Collaboration:
- Maintain a comprehensive understanding of financial products, including equities, bonds, mutual funds, annuities, and insurance.
- Provide insights and support regarding life insurance and annuities as needed.
- Contribute to team success by handling additional responsibilities as assigned.
Qualifications:
Required:
- Minimum of 3 years of experience in financial services.
- At least 2 years of client service experience with a client-first approach.
- Strong knowledge of financial products, including investments, annuities, and insurance.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience using Microsoft Teams and Zoom for client interactions.
- Ability to manage multiple tasks in a fast-paced environment.
- Exceptional attention to detail, organizational skills, and a commitment to compliance.
- Excellent verbal and written communication skills.
Preferred:
- Experience with Schwab platforms and tools.
- Knowledge of life insurance and annuities.
