We are seeking a detail-oriented Compliance Coordinator to join our Risk Management and Compliance department at in a new and evolving position. This role is pivotal in ensuring compliance with professional licensing and certifications, Continuing Professional Education (CPE) requirements, and industry regulations. This role will manage the Firm’s compliance tracking systems, including LCvista, and provide guidance and support to team members on licensing and CPE requirements. Strong organizational skills, effective communication, and the ability to perform high-level administrative work are essential for success.
While prior experience with LMS systems or in an accounting firms is beneficial, a willingness to learn and adapt is even more important, making this an excellent opportunity for motivated candidates eager to grow in a professional environment.
The ideal candidate will operate on a hybrid basis in one of our office locations: Chicago, Denver, Kansas City, Las Vegas, Nashville or St. Louis
Key Responsibilities
Monitor Licensing Compliance
- Track and manage the renewal process for all team members’ professional licenses.
- Ensure timely submissions to state boards and other regulatory bodies.
- Maintain accurate records of licensing requirements and renewals.
Manage Continuing Professional Education (CPE) Compliance
- Monitor team member compliance with CPE requirements, including hours and courses.
- Understand and apply relevant CPE standards to review and code CPE programs.
- Collaborate with Learning & Development team to support CPE program compliance and audits.
Documentation & Record Keeping
- Maintain accurate and up-to-date records of licenses, CPE credits, and related documents.
- Generate regular reports on compliance status for leadership and audit purposes.
Regulatory Awareness
- Stay informed about changes in industry regulations, licensing standards, and CPE requirements.
- Communicate updates to relevant stakeholders to ensure ongoing compliance.
Communication & Coordination
- Act as the primary contact for team members regarding licensing and CPE questions.
- Provide guidance and support to team members to navigate compliance requirements.
Compliance and Data Integrity
- Manage and ensure the accuracy of licensing and compliance data in the firm’s LMS system (LCvista) and other tools (e.g., Excel).
- Oversee the firm’s national and state membership renewal process for both the firm and individual team members.
- Collaborate across departments to address compliance needs and streamline processes.
User Guidance and LMS Support
- Develop user-friendly guides and documentation to help team members navigate the LMS and compliance processes.
- Provide training and support to staff on using the LMS for tracking licenses, CPE credits, and related tasks.
Qualifications
Education
- Bachelor’s or associate degree in business administration, human resources, or a related field preferred, but not required.
Experience
- 2 years of experience in administrative roles, compliance, risk management, or similar fields.
- Experience using Learning Management Systems (LMS) such as LCvista, or comparable platforms, is a strong advantage but not mandatory.
- Demonstrated ability to manage complex processes and maintain accurate records.
Skills and Competencies
- Exceptional attention to detail and organizational skills.
- Strong communication and interpersonal abilities, with a customer service mindset.
- Proactive problem-solving and ability to work independently or collaboratively across departments.
- Proficiency in Microsoft Office Suite, particularly Excel, with the ability to analyze and organize data.
- Ability to create clear and concise user guides and training materials.
- Knowledge of professional licensing and CPE compliance is a plus, but a willingness to learn is essential.
