Position Summary
The HR Coordinator plays a vital role in supporting the firm’s human resources functions, ensuring smooth daily operations and alignment with the firm’s organization’s strategic objectives. This position is responsible for managing a variety of HR tasks, including recruitment, employee relations, compliance, and serving as back-up support for payroll and benefits administration, all while fostering a positive workplace culture.
Essential Functions and Basic Duties:
Recruiting and Onboarding:
- Assist with recruiting efforts, including sourcing candidates and maintaining relationships with potential hires.
- Manage the applicant tracking system, including job postings, and maintaining detailed interview notes.
- Review resumes and screen applicants to identify qualified candidates based on job requirements.
- Coordinate and schedule interviews with candidates and hiring managers.
- Order background checks and complete reference checks for candidates.
- Schedule on-campus interviews and provide law schools with up-to-date information.
- Manage onboarding for new hires, including coordinating orientation schedules and training programs.
- Serve as a point of contact for new employees to address questions during onboarding.
- Review and process new hire documents with employees.
Personnel and Compliance:
- Research and stay up to date on federal and state regulations (e.g. ACA, ADA, FMLA, COBRA) to ensure compliance.
- Collaborate with the Director of HR, Office Administrators, and corporate trainer to develop, implement, and maintain effective orientation programs for new hires.
- Serve as a point of contact for staff and attorneys to address concerns and discuss suggestions for improvements, escalating serious issues or recurring concerns to the Director of HR.
- Review and update job descriptions for all positions to ensure accuracy and alignment with firm needs and compliance requirements.
- Conduct exit interviews with departing employees.
- Assist with responses to surveys and Requests for Proposal (RPFs) by providing accurate and up-to-date information on attorneys, staff , and firm demographic.
- Prepare and distribute associate and staff evaluation materials, including summaries for Executive Committee meetings.
- Maintain accurate and organized personnel records and electronic files in compliance with legal and organizational requirements.
Other Administrative Responsibilities:
- Assist with all aspects of the Associate College.
- Provide support for all aspects of the Summer Associate Program, including event planning, scheduling, and ensuring a positive experience for participants.
- Review mentorship relationships and follow up with mentors.
- Assist with the annual Human Resources budget.
- Plan and organize annual and periodic firm events, including vaccine clinics, health fairs, and wellness initiatives, ensuring employee participation and satisfaction.
Payroll (back-up to payroll & benefits coordinator):
- Process payroll, ensuring accuracy in timecards, deductions, and tax calculations.
- Review and monitor federal, state, and local tax requirements to ensure compliance and accuracy.
- Generate and analyze ad hoc reports for survey responses, financial reporting, and audits.
- Prepare scheduled reports.
- Respond to requests for employment and salary verification.
- Research federal, state, and local compensation trends to support decision-making and ensure competitive pay practices.
Benefits Administration(back-up to payroll & benefits coordinator):
- Assist in the administration of employee benefits, including health, dental, disability, long-term care insurance, and FSA/HSAs.
- Notify employees of benefit eligibility, verify the accuracy of information, and provide guidance on Section 125 qualifying events.
- Assist with annual open enrollment including answering employee questions, communicating plan changes, and coordinating with health insurance broker.
- Issue and explain Family and Medical Leave Act (FMLA) paperwork to employees.
- Coordinate leaves of absences.
- Manage the administration of the online benefits system, ensuring accurate data and efficient functionality.
