Under the general supervision of the Director of Finance, the Member Services Billing Coordinator is responsible for ensuring that the company receives payment for goods and services offered to customers. Duties include maintaining member accounts, payment processing and application, monthly billing statements and collecting past-due accounts.
Essential Job Duties
- Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
- Maintains and updates customer files, including name or address changes or mailing attentions.
- Generates monthly billing statements to members.
- Collaborates with the Director of Finance to reconcile accounts receivable on a periodic basis.
- Assists the Director of Finance with the year-end audit as it relates to accounts receivable.
- Copies, files, and retrieves materials for accounts receivable as needed.
- Creates reports regarding the status of customer accounts as requested.
- Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
- Provides required information to attorneys for filing claims of liens on delinquent accounts.
- Works with a Board sub-committee to research properties for possible foreclosure.
- Maintains confidentiality of Association and guest information.
Other Job Duties
- As appropriate, coordinates with software vendor to maintain accounting software system; recommends updates to enhance the accounting software.
- Performs other related duties as assigned.
- Associate or Bachelor’s degree in Business Administration or Accounting required.
- Five years of related experience required.
- Excellent verbal and written communication skills.
- Understands the billing processes, accounting concepts and systems.
- Demonstrates proficiency in Accounting software including Microsoft Office Products (i.e., Microsoft Word, Outlook) with intermediate to advanced Excel skills.
- Excellent customer service, communication and organizational skills, attention to detail, drive and motivation.

- Requires moderate physical activity, handling of average-weight objects, up to 15 pounds.
- Ability to work on a PC.
- Must understand, communicate, and follow directions, both verbally and in written English.
