OVERALL FUNCTION OF POSITION:
- Administrative support to the Production Staff, assisting each in administrative duties throughout each stage of a Construction Project Life Cycle; from the beginning of a project to the close of a project.
- Administrative support to the president and for the company.
RESPONSIBILITIES:
- Provide Project Managers with attentive project administrative office support.
- Perform all administrative duties associated with every phase of each project (Pre-construction, Project Commencement, Changes to the Work, and Project Completion.)
- Perform general office duties including answering telephones, filing, e-filing, managing emails, check printing, proofing documents, receiving deliveries, data entry, etc.
- Become the office “expert” of Ressio Software; tasks include but not limited to, creating new project pages, entering project data and scope of work descriptions, drafting full Scope of Work documents, entering all Change Orders, communications to clients and subcontractors, managing subcontractor and client info, troubleshooting, and software education with clients, subcontractors/partners, and new employees.
- Proofread and edit contracts for accuracy.
- Draft all subcontractor contracts on behalf of the Production Staff for each project.
- Track project support inventory, office supplies, and other equipment, ordering as needed.
- Follow up with clients effectively, giving them prompt, helpful, and caring service.
- Write and update all training manuals.
- Update company templates.
- Assist in researching information and specifications.
- Complete payroll timesheets and logs daily.
- Assist Project Managers with file path e-filing, emails, and mail organizing.
- Manage and coordinate property maintenance, company vehicle maintenance & repairs, office maintenance & repairs, shop maintenance & repairs.
- Manage, maintain, upgrade, improve, and replace all technology, communication hardware, and office equipment.
- Maintain professional and respectful behavior toward clients, other employees, subcontractors, vendors/suppliers, and their employees at all times.
- Represent the professional image of the company and display the company’s shared values in your work and behavior.
- Facilitate flow of accurate and timely information between office, management, field crew and subcontractors.
REQUIREMENTS:
- Previous experience in an administrative/clerical support role.
- Highly organized, detail-oriented, and professional self-starter with excellent multi-tasking, prioritizing, and problem-solving skills.
- Excellent communication and interpersonal, listening, verbal, and writing skills.
- Ability to meet and manage deadlines.
- Technically savvy. Proficient use in Excel, Word, Outlook, Adobe, and DocuSign. Familiar with CRM systems. Experience using virtual meeting software such as Zoom.
- Competent with basic math, accounting, and computation skills.
- Accurate data entry and excellent keyboard skills.
- Ability to audit documents for accuracy.
- Preferred/Not Required – Knowledge of Ressio Construction management software or other construction management software such as CoConstruct or BuilderTrend.
- Preferred/Not Required – Rudimentary construction knowledge.
- Highly adaptable and flexible with willingness to embrace change and learn new skills, tools, and technology.

- Dependable, ethical, professional, and responsible with a strong work ethic.
- Must pass background check.
$25-$30 Hourly Wage, DOE.
