We are seeking an ambitious, energetic and self-motivated Preconstruction Coordinator to join our growing team!
As a Preconstruction Coordinator , you will help us reach our strategic growth goals by supporting the Preconstruction team.
Preconstruction Support
Assist the team with bid day activities including team communication, bid form updates, printing and all related tasks. Support trade partner outreach during the bidding phase of projects. Coordinate with team members for post-bid / pre-award interviews with trade partners. Manage front-end reviews for bid forms and envelopes. Post-bid responsibilities, including scanning and saving all received bids to Procore and BuildingConnected. Place orders for bidding documents and arrange pickups as needed. Data Management and Reporting
Monitor and update the 'Bullpen for Pending Projects', deleting or transferring files to Procore as needed. Assist with managing all three estimating inboxes. Support the weekly Pipeline reporting process, ensuring preconstruction team members maintain accurate and up-to-date information. Bid Software Management
Create new projects in bid software. Assist team with setting up new projects, including building trades and preliminary subcontractor lists for invitations to bid. Maintain subcontractor lists and update contact information in bidding software. Create, track and maintain project directories and master invite lists. Solicit and document bidder status with emails and phone calls. Document in bid software. Document Management
Support the TradeTapp prequalification process, including : Downloading internal summaries to save to Procore for project teams.
Pulling requested information from prequalification applicants and distributing to the project team. Maintaining the TradeTapp status log in SharePoint. Ensure all drawings and specifications have been received and are uploaded into project management software. Send addendums, RFIs and other pertinent project information updates to bidders. Subcontractor Prequalification Management
Maintain subcontractor prequalification database. Send prequalification forms to subcontractors and suppliers. Collect and file Diversity certificates from subcontractors. Contact subcontractor references as needed. Responding to status requests or process questions from project teams. Support and troubleshoot questions from subcontractors and / or suppliers. Send review reminders to the CFO and Project Executives. Follow up on prequalifications in progress to close records efficiently. Client and Trade Partner Relations
Assist with outreach efforts related to small businesses and disadvantaged firms. Support trade partner appreciation luncheons across all offices. Coordinate team site visits and lunches as needed. Monitor third-party project lead services and client websites to identify new pursuit and bid opportunities. Project Documentation and Support
Assist with preparing hard bid drawings and addendums for upload into necessary modules. Collaborate with teams to create and maintain bidder lists in BuildingConnected and for new geographic markets. Provide support for budget rolls and other cost-related preconstruction tasks. Requirements
High school diploma or GED required. Advanced experience in business preferred. College coursework desired. Strong organizational skills and attention to detail are essential. Proficiency in software platforms such as Procore, BuildingConnected and SharePoint preferred but not required, training available. Excellent communication and interpersonal skills are a must. Ability to manage multiple tasks and deadlines in a fast-paced environment. Construction industry experience desired. Familiarity with preconstruction processes is a plus.
