Enrollment Associate
To serve the mission, vision, and values of REH, Inc. by performing the administrative enrollment and registration functions of the education department of Ruth Eckerd Hall, The Marcia P. Hoffman School of the Arts (MPH).
Essential Duties
- Provide program information to constituents via phone, email, and face-to-face.
- Process enrollments and registrations for all classes, private lessons, and programs.
- Maintain all mailing lists, class lists, rosters, and student records for MPH programs.
- Process all accounts receivable, invoices, and payments billed through the education department.
- Report all “bad debt” connected to education programs.
- Create and maintain class/program folders and instructor files.
- Attend all REH and MPH meetings, as appropriate.
- Attend all MPH events, as assigned.
- Professionally represent Ruth Eckerd Hall and The Marcia P. Hoffman School of the Arts at all times.
- Complete all other duties as assigned (which will vary per term—fall, winter/spring, summer).
Education/Experiences
- Minimum 2 years in a secretarial/administrative role required – preferably in an art, educational, or nonprofit environment.
- Computer proficiency (Microsoft 365).
- Experience with Tessitura software strongly preferred.
- Customer service and sales experience helpful.
Demonstrated Skills or Knowledge
- Knowledge of arts administration and education is preferred.
- Knowledge and previous participation in the performing arts is preferred.
- Demonstrated commitment to the principles of project management and culture, including flexibility.
- Demonstrated commitment to the principles of teamwork and shared responsibility.
- Ability to plan and organize tasks for efficiency and simultaneous deadlines.
- Ability to handle confidential conversations, correspondence, and records with discretion.
- Advanced oral and written communication skills, including the ability to communicate relevant information in a manner that prompts the desired action.
- Proficiency in word processing and spreadsheets.
- Ability to multitask in a fast-paced environment.
- Ability to communicate respectfully with and generate trust from a diverse group of people.
- Ability to seek out the required information.
Physical Demands
- Ability to maintain good attendance is a condition of employment and a function of this job.
- Ability to work irregular work hours and days.
- Ability to lift and carry up to 25 lbs.
- Ability to sit at a computer terminal for extended periods.
- Ability to operate computers, calculators, and other basic office machines.
- Ability to use the telephone.
- Ability to drive.
Other
- Valid driver's license and safe driving record.
- Successful completion of Level II Screening.
- Successful completion of drug screen.
