About the Role
Reporting to the Senior Production Manager, the Coordinator, Sea Production is responsible for leading the company management and talent hospitality across all entertainment products RWS produces for our client; ensuring each group feels welcomed, taken care of, and supported from the moment they are cast through rehearsals, contract, and eventual debarkation. This position is also responsible for upholding the RWS and client brand standards and supporting the operational needs/ efficiency of Sea Production operations.

About the Role
Reporting to the Senior Production Manager, the Coordinator, Sea Production is responsible for leading the company management and talent hospitality across all entertainment products RWS produces for our client; ensuring each group feels welcomed, taken care of, and supported from the moment they are cast through rehearsals, contract, and eventual debarkation. This position is also responsible for upholding the RWS and client brand standards and supporting the operational needs/ efficiency of Sea Production operations.
Role & Responsibilities
- Providing holistic company management for all entertainment product talent (welcome and onboarding, travel and housing logistics, payroll onboarding and management, medical and visa management, etc)
- Acting as the main contact for all talent questions relating to travel, housing, onboarding, and payroll
- Creating and coordinating medical appointment schedules; ensuring talent knows where to go and what to do
- Securing and managing all talent insurance policies
- Managing client-specific digital onboarding and travel systems
- Handling expense reimbursement and reconciliation
- Shipping and receiving support
- Logging and filing all talent documents, itineraries, etc.
- Supporting reconciliation and processing of monthly billables
- Supporting all talent welcome, orientation, and travel meetings
- Supporting studio needs as assigned
- Ensuring all internal and external stakeholders are following the policies set by the client delivery team
- Traveling to ships as necessary
Necessary Qualifications
- A BFA/BA degree in the Theatre/ Entertainment fields or equivalent professional experience
- 1-3 years of experience in the entertainment industry (stage management, company management, theatrical admin, etc)
- Advanced written and verbal communication skills
- Must be proficient in Excel and MS Office applications
- A flexible schedule allowing for approximately 20% international travel
- Motivation, dedication, passion, integrity, collaboration, and self-direction
Ideal candidates also have:
- Hospitality experience
- Cruise ship and/or Theme Park experience

Reports to: Senior, Production Manager of Holland America Line
- Status: MobileMobile (in NY/NJ/CT Metro Area): Team members who are pre-approved to regularly perform their job responsibilities remotely up to two (2) days per week, with three (3) days per week operating out of the RWS New York City headquarters.
