Job Summary
Order Intake is responsible for patient care and coordination. The Order Intake team is located in Arroyo Grande, CA; Asheville, NC; and Bauru, Brazil.
As an Order Intake Specialist, EDM, you’ll use your skills to test, refine and support the development of a new model of Durable Medical Equipment care delivery within our new vertical subset. The ideal candidate for this role will be motivated to leverage existing medical skillset in this new intersection of digital health and patient care.
This full time position is for the Arroyo Grande, CA office, joining a team of passionate healthcare technologists.
Duties / Responsibilities
- Test and support the development of workflows that mirror the core business model and support the integration of a new product type
- Identify opportunities for improvement and suggest specific improvements to leadership
- Lead out on questions, escalations, and more complicated issues related to device coordination
- Existing knowledge of Diabetic devices, including BGM, CGM, Insulin Pumps, Smart Pens etc
- Work between physicians and patients to validate orders
- Assist in patient care through preparation of new prescriptions to initial call and aid in inbounds from patients
- Put patients first by providing proactive information, including shipment tracking, insurance coverage advice, and product support.
- Ensure compliance standards are met on all orders received.
- Communicate with providers regarding any compliance issues or addendums needed within a patient prescription
- Perform prior authorization and insurance eligibility checks.
- Owns specific region/organization and enhances provider and patient satisfaction
- Delve deeper into ways to enhance such specialties through provider/patient communication

Expectations
- Completes a satisfactory amount of patient tasks per day (i.e. 50 or more)
- Handles escalated patient situations appropriately and problem solves for the specific situation
- Notes key differences between device types, understands HCPCS and dispensing allowances, and integrations between different device types
- Utilizes multiple EMRs and Nuclino to send messages in proper procedure.
- Identifies trending issues in organization and presents data cross-functionally such as IURs or situations to help address and work through
- Utilizes appropriate channels for escalations: tickets for non-urgent tasks or trends vs. slack oi-escalation channel
- Follows protocol surrounding company operational expectations, including deadlines for self-reviews, HR trainings, attendance policies, and security reviews
Required Skills/Abilities
- Certified Medical Assistant, Pharmacy tech or surgery scheduling experience preferred.
- Adaptable; our company and industry are changing rapidly.
- Warm and friendly with customers; strong communication skills and deep customer empathy.
- Self-starter, can work autonomously.
- Results-oriented, can follow a process and understand business goals.
- Team player who can work effortlessly and effectively with different personalities.
- Confident using software, task management systems like Asana.
- Experience in healthcare, specifically urology, and EMR experience are a bonus
Education and Experience
- High school diploma or equivalent required; college coursework preferred
- 5-7 years of related healthcare experience is required (Focus within Internal Medicine, Endocrinology of DME Distribution experience)

Work Environment
This is largely a sedentary role, with most of the duties performed on a computer or phone. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

- Answer multiple emails and phone calls per day
- Must be able to lift up to 30 pounds at times
- Move throughout the office or workspace when needed
Job Type: Full-time
Pay: $26.00 - $28.00 per hour
