OVERVIEW :
The Service Contract Administrator will be responsible for the companies service contracts for it's capital equipment as well as the time and materials billing for non-compliant (no service contract or warranty) installed systems. This position will monitor service transactions in the field, and for customers not currently covered by a Service Contract, develop billing to capture costs related to the servicing of these systems. This position will develop processes to capture and report non-compliant systems that are not covered under a contract or warranty enabling expense coverage for the company. This position is responsible for managing the billing process and data integrity for time and materials revenue. This role involves close coordination with customers, field support engineers, technical services, and finance to ensure accurate and timely invoicing.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Generate accurate and timely invoices for time and materials based on labor hours, and materials usage.
- Ensure service contract entries are entered accurately into the Service Support Module.
- Work closely with technical services and field support engineers to gather necessary data for billing purposes.
- Generate regular reports on billing activities, contract performance, and other relevant metrics.
- Provide analysis and insights into billing trends, identifying opportunities for process improvements.
- Collaborate with customers to address billing inquiries, provide clarification on invoices, and resolve any discrepancies.
- Be a subject matter expert of QAD Technical Service modules, including Service Support Module and Call Maintenance.
- Maintain positive and professional relationships with customers through effective communication and responsiveness.
- Work with contracts administration team to identify renewal and all-inclusive service agreements opportunities
- Direct quoting of Service Agreements to customers coming out of warranty as well as upselling customers that are non-compliant to a warranty or service contract.
- At end of quarter, or when the need arises provide auxillary bandwidth for LDD quoations as required.
- Ensure effective work instructions and procedures are in place to administer Service Time and Materials billing.

SALARY RANGE :
Salary : $85,000 - $90,000
